Want to get to know your customers better?

Exact Online users in Belgium can now benefit from a new integrated service. Through collaboration with the Belgian organization GRAYDON, they can now learn much more about who they do business with.

Graydon Belgium NV manages a huge volume of information on all Belgian companies, gleaned from a variety of sources including official publications, phone books, internet sites and legal documentation. As a service company, they create and sell customized reports, give ratings and offer further advice tailored to their clients’ specific needs.

These reports can be extremely valuable in understanding other businesses better, particularly when planning a significant interaction with another company. 

What is the payment experience?
Graydon’s “Payment experience” report allows you to view a company’s payment activities on a quarterly basis, seeing how well they meet their invoices on time. Every month, Graydon’s members supply the aging balances associated with all their Belgian customers, allowing Graydon to generate a clear overview of how well Belgian companies service their debts to their suppliers.
As a Graydon customer (member of the Graydon community) this report is available for free. All that’s required in return is collaboration with Graydon, agreeing to also send them the aging balances of all your customers every month. 
Excitingly for Exact Online’s customers, we’ve made this valuable process easy and accessible, integrating the process directly into EOL’s functionality.

Activating collaboration with Graydon.
Despite the power we believe this service to offer, Exact Online’s customers are not automatically entered into the collaboration. A link to start the process is in the account card. Clicking on the link starts a wizard, outlining the benefits of taking part in the Graydon community.
Once the conditions are agreed to, an e-mail is sent to Graydon automatically. On receiving the e-mail, Graydon activate the company in their back office and send through a customer code, login and password. It couldn’t be much easier.

Sending the aging balances to Graydon.
Every first day of the month, Exact Online customers who have activated the Graydon collaboration will get a task in their cockpit. Clicking on it opens a wizard that sends Graydon an e-mail. A CSV file detailing the outstanding items for Belgian customers will be attached. It’s that simple. Graydon has everything they need from you with one click of the mouse. Once the file has been sent, this task disappears from the cockpit until the same time next month.

Review your customers’ payment behavior quickly and easily.
Rather than doing a manual search in the Graydon site, Exact Online users can directly access the reports they need within their administrations. A hyperlink in the customer’s account card will send the user straight to the information they are looking for.

This new built-in service helps strengthen the community aspect of our Exact Online users. We are linking individual companies together through the easy sharing of important information, making it easier for our customers to make the right choices and develop valuable relationships. Graydon’s ecosystem offers powerful business intelligence, joining it a move that can genuinely exert a positive influence on cash flow.

What is your web identity?

The web has become an important part of our lives. We use the web to find and share information, to communicate and buy stuff. We are spiders stuck in the World Wide Web. The web lives, every day new sites, services and opportunities emerge. The constant expansion and change also brings challenges and makes it hard to remember who you really are.

How many faces, or in other words usernames and passwords, do you have? I’m pretty sure they are quite a few and are hard to manage. Some of the usernames you could choose yourself while others are provided to you. The passwords all have different rules and you probably have heaps of difficulties to remember them all. This is a common challenge of the web and a solution is complex. There is a standard with OpenID, but adoption is slow and it takes time.

Wouldn’t it be nice if:
1. You identify and authenticate yourself at the portal of your accountant and with a single click you can log into Exact Online without having to enter your credentials again.
2. You could choose your own username and password for the Exact Customer and Partner portals
3. Keep your Exact logon credentials when you change your job from one Exact Partner to another or from a partner to a customer etc.

We will make this all happen for you. Exact Research has been working on an Exact ID that will facilitate the above scenarios and a lot more. In the future we will support OpenID, Microsoft Live ID, Google Account, etc. to authenticate yourself for any of the Exact web applications. This is a major step towards a uniform and transparent web, but dealing with user credentials require extreme care and for this reason we take a very small steps towards the implementation.

Exact Software getting ready for Windows 7

Last month the Windows 7 team of Microsoft announced on their blog that the General Availability of Windows 7 is planned for October 22nd 2009. Windows 7 is the successor of Windows Vista and includes many new features.

Exact Software is preparing to become one of the first European software vendors to receive an official certification for Windows 7. In the movie below Aad ‘t Hart, technology & research director of Exact Software, explains how Exact is getting ready for Windows 7 and what are the advantages for our customers.

New VAT rules in the EU per 1 January 2010.

In February 2008, the EU Ministers of Finance adopted a package of changes regarding the VAT system in Europe. One of the objectives of this package is to modernize and simplify existing rules regarding the cross-border delivery of services within the EU. Another objective is to reduce fraud. This new VAT package will be introduced in all EU countries on the 1st of January 2010.

This means that before the end of 2009, all 27 EU countries will have to include these changes in their local VAT legislation. I will not go in full detail of the new package in this post, but I will give you 3 major changes that might also impact your business (if it’s located in the EU, of course). It is a complicated manner, so I tried to write it down as clearly as possible.

  • If you are a VAT-registered business and you sell or move goods to other VAT-registered businesses within the European Union (EU), you must record and report data on your activities. There are two systems: Intrastat and the European Community (EC) Sales List. This EC Sales List, the listing of delivery of goods, will be replaced by the listing of delivery of goods and services. This listing will thus not only be for the delivery of goods, but now also for the services that you provide to customers that are liable to VAT (B2B) located in another EU country. The periodicity of the ESL (EC Sales List) will be quarterly or monthly depending of the size of the company.
  • In case of (cross-border) delivery of services, you will have to list these services on the EC Sales List if the location of your customer is in another European country than your own. In other words, the location where the service is actually executed is not relevant anymore. Only the country of your customer is relevant.
  • The VAT return can also be changed, but this will differ per country. For example in the Netherlands, goods and services have to be reported in the existing ‘box 3’ while in Belgium two new VAT boxes will be added to the VAT return. Whatever solution a country will choose, the objective is always to have a full coherence between the EC Sales List and the VAT return.  

For some countries the modifications that have to be implemented in the EC Sales List and the VAT return are already known, while in other countries these modifications will not be totally clear before November or December of this year. 

Even though not all the changes are known yet, Exact Software will not and cannot wait until the last minute to implement these changes in Exact Globe and Exact Online. With customers in almost every EU country we have to take timely measures. Therefore we are currently, for each individual EU country, in contact with the local VAT administration and accountancy firms to investigate the impact for the local VAT return and EC Sales List.

Around Europe, you have probably received invitations to follow a seminar regarding this subject, often organized by the VAT authority, accountants offices or business organizations. We advise you to follow one of these seminars. This because the new VAT package will not only have impact on the VAT return or the EC Sales List, but it will also have an impact on the way that you will register your financial data.

No more workarounds for ‘Delivery notes’

Small companies with logistic processes have not been served with Exact Online functionality up to so far. Via a workaround (that is also used in Exact Compact Trade – product) it is possible to make a delivery note (via trial printing), however this is as far as the logistic delivery process is facilitated.  This will change very soon!

In April 2010 a new module ‘Sales order’ will be added to the Exact Online offering with separate planning and realization stages.  From sales order entry, you can enter your sales data (with customer specific prices) and plan your deliveries. Based on the planned deliveries, a picking list can be printed for order picking in your warehouse. Picking can be organized by various dimensions (order / planned delivery date, by item or by customer). After picking, the delivery can be confirmed with processing of the delivery (that can be similarly organized as the picking list). At delivery you can choose to process the shipment immediately or to combine processing with (electronic) output on a (customized) delivery note. Last step in the process is to invoice your sales, which can be organized based on the sales order or on the delivery note.

The new module characterizes itself by flexibility, speed and completeness (including a return flow of goods) and is positioned in between quotation and sales invoice. This offering will be useful to Companies with a simple and fast delivery process within a single warehouse.

The Sales order module will be available as pilot module in the controlled release that is estimated to be available in April 2010.

Today we celebrate 25 years of entrepreneurship

It is 25 years ago that a group of students in Delft, the Netherlands, started a small company that offered clever software solutions to entrepreneurs. That small company has grown to a multinational company with 2.400 people spread across 40 countries that used to be called ‘Exact Software’ and as of today is called ‘Exact’. And here at Exact we still do what our founders did 25 years ago: we serve entrepreneurial businesses with business software solutions that give you the freedom to successfully address challenges and opportunities, creating value for your customers and ultimately for yourself.

New brand strategy: rebranding our products

This week we celebrate our anniversary and today we have reveilled a new brand strategy to the world. As you can see on this blog, a new visual identity with a new logo and a new tagline, ‘Exact. And it all comes together.”,  are part of this new brand strategy. We have launched a new website, all over the world our offices have been redecorated and the new logo already shines brightly on our new headquarter office that is under construction.

As a customer using Exact Globe, Exact Synergy and Exact Synergy Enterprise  you will notice that your product has been rebranded too. As of today, if you update or upgrade your software, our new visual identity will smile at you whenever you start your systems. Our Exact Online customers have maybe already noticed that the live environment of Exact Online has also been rebranded during the weekend.

Thank you all for the trust you have placed in us! We will keep innovating and extending our Exact Online offering in the coming period of time, just like we have done in the past.

And like that is altogether not enough reason to have a party, today we have also made product update 395 for Exact Globe available for you to download. Sneak preview of Electronic Invoicing

The advantages of Electronic Invoicing

Since a few weeks we are sending all invoices to our Exact Online customers digitally. The monthly invoices are sent from our own Exact Globe environment to the digital mailboxes in Exact Online. With some simple mouse clicks our customers can first check the invoice and then create the entry into Exact Online with the invoice linked as an attachment. Why is this so exciting? Well, at Exact we are investigating the possibilities of Electronic Invoicing not only for ourselves, but also for our customers. This is the first step in the process and it will be the start for more functionality in both Exact Online and Exact Globe for supporting electronic invoices.

Electronic Invoicing received a lot of attention in the media lately. Governments worldwide are heavily promoting electronic invoices and the Dutch government even ‘killed’ all the strict rules that made sending invoices via email not viable for a lot of companies. Since February 2009 sending an invoice via email has the same legal status as a paper invoice.  Sending and receiving invoices digitally can save a company a lot of costs (labor hours, post stamps, envelopes, paper, etc) and furthermore it is environmental friendly. According to the European Commission, businesses across Europe can save up to 18 billion Euro by using a solution for Electronic Invoicing.

The disadvantage of only receiving an invoice via email (e.g. a PDF-file as attachment) is the fact that a user needs to download (and sometimes print) the invoice and enter the data in the bookkeeping system manually. A better solution is sending invoices completely electronically with the ability to import it directly in a financial administration, just like we are currently doing with Exact Online. Sending invoices electronically means that you send all the related invoice data together with the message, and that the sales invoice can be booked into the bookkeeping system as a purchase invoice by some simple mouse clicks (or even fully automated). This is the goal we are aiming for.
