B2B E-Commerce Portal in Controlled Release!

In my last post I promised to let you know once the B2B E-Commerce Portal (ECP) is in controlled release. Well, the moment is there!

As of yesterday, after completing an extensive acceptance test and getting very positive feedback from customers during a ‘customer evaluation roadshow’, the B2B E-Commerce Portal has gone into extended controlled release for the regions International and Benelux. Exact Globe customers can now adopt a straight forward, configurable and easy to implement and maintain electronic commerce portal. The portal facilitates online and on-demand sharing of information and Web-based ordering by customers, partners or employees.

Exact Synergy Enterprise product update 245 is generally available

On behalf of Exact Product Management I’m pleased to announce that as of today Exact Synergy Enterprise product update 245 is generally available.

In this product update we focused on multiple improvements in the following areas:

  • New features and user interface in Synergy Mobile (video)
  • Project administration in professional services automation
  • Managing reintegration of employees (video)
  • Central Master Data Management in extended controlled release (video)
  • Real time integration Exact Synergy Enterprise and Exact Globe (video)

Moreover, as in every product update we implemented a number of new functionalities and enhancements which are a result of direct customer feedback.

The new Supply Chain Portal (2), an example

In my last post I promised to keep you posted about the development of the new Supply Chain Portal (SCP). By the way, this is an internal development name, the final name giving has to be decided upon.

The SCP will be shipped with three templates. These templates will give the user an overview of the possibilities of styling and widgets of the ‘master page’ and ‘catalog page’. The design of the first template is ready. Please share your comments on this template with me either by replying on this post or via e-mail (stan.houben@exact.com). I wish you all a wonderful 2011!

The magic of Exact Synergy Outlook (The movie)

We all spend a lot of time communicating with our colleagues, customers and other parties. Email is one of the ways to do this and like most of you; I spend a lot of time on my email.

MS Outlook is the first application I open at the beginning of my day and it is the last that I close when I go to bed. I am a frequent user of the Synergy integration we offer in Outlook. The integration is simple and straight forward. You can save your email and do all the things you normally do in Synergy from Outlook.

Hello, I am the Synergy User!

Let me introduce myself. As of 244 every user that can use Exact Synergy Enterprise will be a Synergy User. I am the most basic of users in Exact Synergy Enterprise; intended for employees that don’t rely in their daily work on the use of Exact Synergy but do need to have access to ask for a day off and view their calendar. Maybe they need me to find contact information of colleagues or allow them to communicate with colleagues in a structured way. On top of me you can stack multiple roles to expand my functionality. I can make use of the following functionality:

View Intranet news page

This allows me to be informed on what is going on within my company, access links to start pages, read the most important news that gets broadcasted within my company. This makes sure I am always involved and informed!

Create tasks for myself and other users

Maintain a to-do list and request jobs to be done from others. It also allows me to keep track of the progress of these tasks.

Receive tasks

Receive tasks from others.

Request a vacation

Ask my manager for approval on days off.

View my calendar

Check my calendar for upcoming events and jobs to do.

Maintain favorites

Allow to store shortcuts to documents and other resources for quick access.

Synchronize my Calendar with Microsoft Outlook

Make sure Microsoft Outlook represents the Exact Synergy Enterprise calendar.

View my resource card

View if my personal data is correct, correct and add information to it.

Setup my Exact Synergy Enterprise preferences

Adjust the language and language settings for me personally.

Find colleagues

Search for colleagues and look at their contact information.

View Microsoft Reporting Services reports

View MS Reporting reports if the reports rights allow me to.

Extending my functionality can be done by assigning me one of the roles below:

Extending the functionality which is available to me as a Synergy user can easily be done by assigning additional roles. The Synergy User can be extended by the following roles:

  1. Professional Role.
  2. Employee Self Service Role.
  3. CRM Role.
  4. Incoming Invoice Register Role.
  5. Report Manager Role.
  6. Hour Entry Role.
  7. Project Controller Role.

And the best thing, I am free to use and only require a small annual fee to support me.

How to make use of PSA in Exact Synergy Enterprise

In order to make use of the PSA in Exact Synergy Enterprise and start to enjoy the Time&Billing capabilities, you can do that in two ways:

  1. Having a Synergy user with a professional role. Such a user can be granted any other license role (like Hour entry role) free of charge and without any further license checks
  2. Assign a Synergy user, who doesn’t have the professional role yet, with  the hour entry role. When doing so, a license check is done whether the customer has sufficient available Hour entry roles (YA1401) in his license
  3. #1 and #2 also apply to the situation where the user doesn’t need hour entry capabilities, but rather project controlling capabilities. So a Synergy user who already has the professional role, can be assigned with the project controller role free of charge and without any further license checks. Those Synergy users who don’t have a professional role, can only be granted the project controller role if there’s sufficient available project controller roles (YA1402) in the license

All the applications needed to make use of PSA in Exact Synergy Enterprise, are downloaded via the standard update mechanism of Exact Synergy Enterprise, so no seperate installation on the webserver is required.

B2B E-Commerce Portal

In my last post about the Supply Chain Portal I stated that the commercial name still had te be decided upon and that Supply Chain Portal was an internal development name. We decided to rename the new solution to ‘B2B E-Commerce Portal’ (ECP). This name represents Exactly what it stands for, a B2B solution for e-commerce.

At this moment the ECP is in stabilization, meaning that all intended functionality is ready and that bugs are being fixed. Also the manual and the other collatoral is being written.

Last time I shared an example of how the ECP (catalog) could look like. The Exact UX team developed a couple of other designs which I added to this post. Please keep in mind that we still have to find out whether it is technically feasible.

One of the possibilities of the ECP that was not communicated about a lot is that it can also serve as a content management system. Using flexible menus, pages and widgets you can show all kind of Exact Synergy Enterprise documents, news and images. You can also create ‘information’ requests in Exact Synergy Enterprise directly from the ECP.

 I will let you know once ECP is ready for controlled release.

Tips to easily customize the tabs

In my previous post about the new Synergy design I wrote that the order of the tabs on the Person, Account and Project cards can easily be changed via drag-and-drop as of product update 245. What does this actually mean?

When you open a card, you will find the tabs just underneath the contact details (Business card and ‘More’ section).

A number of tabs are shown and there is also a ‘+ ‘ tab. When you click on the ‘+’ tab, it presents a list of pages that are not used very frequently. Of course the list of pages is based on availability. By clicking on one of the items in the list, it will automatically open the related page. If you would like to add an item to the tabs bar, you can easily do that by drag and drop. It is also possible to remove a tab from the bar and put it in the ‘+’ tab list via drag and drop.

Next to that you can also easily customize the order of the tabs. For instance when you are an Account Manager, you would like to see the activities related to a specific customer. In that case you can move the ‘Activity’ tab to the first position in the row. The order of the tabs will be stored automatically. When you open an Account card, the Activity tab is shown by default, so you don’t have to click.

The new Supply Chain Portal

Earlier this year  Exact started the development of a Supply Chain Portal (SCP) based on Exact Synergy Enterprise (ESE), linked to Exact Globe. This Supply Chain Portal is intended for the Business to Business (B2B) market. At this moment we are able to share some of the highlights. We are planning to make the SCP available for controlled release customers by the end of Q1 2011.

The Supply Chain Portal gives customers a big business opportunity in the Business to Business market, the Supply Chain Portal brings suppliers and their customers closer together. It enables customers to easily enter purchase orders via the Internet (via a catalogue), besides that it enables them to see outstanding orders, order history, invoices, requests, documents etcetera. A Supply Chain Portal is a vital functionality for many companies. More and more business is done via the Internet. It decreases costs and increases speed and efficiency in the Supply Chain processes.

Besides functionalities and features like catalogue, (saved) shopping basket, item card, pricelist support, stock information, favorites, advanced item search, multiple language support, assortment support, authorization (by the customers purchase manager), entering purchase orders as a customer, reseller or employee and importing a shopping basket based on an Excel sheet, we implemented the use of so called ‘Widgets’.

A widget is a small application that can be installed and executed within a web page by an end user. In other words, widgets are functionalities (for instance ‘login’,  ‘shopping card’, ‘language select’) that can be inserted to and dragged and dropped anywhere in the SCP’s home page by the SCP administrator. Each widget can be configured without extensive html knowledge. Each widget has a number of properties that can be easily set, like the picture, the background color, the font color, the font type, the font size, the header label and so on. The following widgets are already developed:

  • Image (for instance for the company logo)
  • Login
  • Language flags
  • Customer data
  • Menu
  • Shopping  basket
  •  Assortment
  • Search
  • Text (for instance to show a Synergy document)
  • Quick entry
  • RSS feed


The use of these widgets will provide the creator of the SCP with a lot of flexibility. It will also shorten the implementation time that is needed for the SCP.

Taking control: Incoming Invoice Register

The incoming invoice register in Synergy is a success. With almost 1000 customer using this functionality today, we are proud to announce that the solution is generally available in Synergy Enterprise release 244.

The Incoming Invoice Register is Exact’s solution to efficiently and easily validate and approve incoming purchase invoices by the correct responsible person in your organization. By doing that your business avoids paying invoices it should not pay at this time or shouldn’t be paid at all thus reducing the effort it puts in money back procedures.

Vincent already explained in his post that an invoice preview will be made available in Exact Synergy Enterprise so that the scanned invoice is immediately visible next to the financial booking information. But what really is the Incoming Invoice Register solution? And how can it help you to take control over that part of the purchase process within your organization?

After a purchase invoice is registered in Exact Globe’s Incoming Invoice Register one or more approval requests are created for the person(s) who needs to approve the purchase invoice in Exact Synergy Enterprise. Whom the approver(s) are, is determined by register codes. It’s also possible to specify whether or not the approvers can approve simultaneously or in sequence. As soon as all approvers have approved the request the financial booking within Exact Globe is updated and ready to be paid based on payment conditions. When the purchase invoice is incorrect and one of  the approvers rejects the invoice, the financial administration is automatically notified. After correction of the financial booking or invoice, all approvers need to approve it again.
