Financial insights limit your credit risk

From the Spring Release this year, Exact Online for Wholesale and Manufacturing contain a new feature called ‘Financial insights’. This feature delivers essential financial insights during the order intake process. Actually, when entering the customer in a new sales order, a popup is triggered automatically when needed, showing the amounts of (overdue) accounts receivable, open invoices and orders.

Real time integration between Exact Synergy Enterprise and Exact Globe

Since the introduction of Exact Synergy Enterprise we’ve been working hard to improve integration options with Exact Globe as well as third party back office products.

Looking to the integration between Exact Synergy Enterprise and Exact Globe we developed the following integration solutions:

  1. Real time integration: We’re pleased to let you know that we’ve made significant steps forward in this regard. Real time bi-directional synchronization between Exact Synergy Enterprise and Exact Globe is now a reality for much of your business critical processes when you work with one Exact Globe and Exact Synergy Enterprise environment.  Check the following overview to see which data is synchronized.
  2. Back office connection:  it is possible to establish a back office connection that allows users to view information stored in Exact Globe on Exact Synergy Enterprise web pages. Sales orders, purchase orders and other reports are shown directly in Exact Synergy Enterprise.
  3. Convert Quotation to Sales order: we’ve also recently introduced the possibility to create a sales order in Exact Globe directly from a quotation created in Exact Synergy Enterprise. Why entering data twice if you can convert the quotation?

Each of those solutions can be used on its own but advised is to use them all to get the most benefits out of it. We already have customers working with the integration possibilities and their feedback is encouraging.

We know how important it is for our customers to be able to view and share important information between departments and applications.  We will continue to enhance this functionality in the upcoming product updates.

No more workarounds for ‘Delivery notes’

Small companies with logistic processes have not been served with Exact Online functionality up to so far. Via a workaround (that is also used in Exact Compact Trade – product) it is possible to make a delivery note (via trial printing), however this is as far as the logistic delivery process is facilitated.  This will change very soon!

In April 2010 a new module ‘Sales order’ will be added to the Exact Online offering with separate planning and realization stages.  From sales order entry, you can enter your sales data (with customer specific prices) and plan your deliveries. Based on the planned deliveries, a picking list can be printed for order picking in your warehouse. Picking can be organized by various dimensions (order / planned delivery date, by item or by customer). After picking, the delivery can be confirmed with processing of the delivery (that can be similarly organized as the picking list). At delivery you can choose to process the shipment immediately or to combine processing with (electronic) output on a (customized) delivery note. Last step in the process is to invoice your sales, which can be organized based on the sales order or on the delivery note.

The new module characterizes itself by flexibility, speed and completeness (including a return flow of goods) and is positioned in between quotation and sales invoice. This offering will be useful to Companies with a simple and fast delivery process within a single warehouse.

The Sales order module will be available as pilot module in the controlled release that is estimated to be available in April 2010.

Insight into margin when negotiating a sale!

In scenarios where lowering the sales price of a product or some products in a Quotation or Sales order is needed to make the sale, it is important to have direct insight in the margin you are expected to make. In a competitive environment one cannot always stick to the list price, still it remains important to retain healthy margins and when not, then let it be a conscious decision to give some on the short term in order to gain or retain a long term relationship with your customer.

Sales orders and line splitting in Exact Globe Next

 One of the projects we planned for this year is ‘Line splitting for sales orders’.

The goal here is to give better insight in what the original sales order looked like. In Exact Globe Next a number of processes can result in a ‘split order line’:

  • Allocation
  • Enrichment
  • Partial delivery
  • Partial delivery due to insufficient stock
  • Return without replacement
  • Return with replacement
  • Serial/batch number pre-assignment
  • Exploded item
  • Order cancellation via completion 

The result is that in the sales order entry screen a line is split into several other sales order lines. It is hard to see what the original sales order looked like.




One of the things we will do it to store the original line number in the sales order line table as soon as a line is split. This will enable you to see the sales order in a ‘grouped by original line number’ view. For purchase orders a similar solution was developed already a while ago.

The question now is whether this solution meets your requirements. From various different sources we get the requirement to ‘group by default’ when opening a sales order. This would result in not seeing the details right away; you would have to push a button for that.

Two new features for Quotation module in Synergy

In product update 245 we introduce new features that you can use in the quotation module. You can now benefit from converting a quotation in Synergy to a sales order in Exact Globe. Moreover you are able to make quotations even more clear and legible.

When you work with Synergy and Exact Globe, you can choose to convert a won quotation to a sales order in Exact Globe. The sales order can be viewed from the quotation card ones converted. Find all the details here

Make your quotation even more clear and legible

The quotation you send to your prospect is created based on a template. This template is a Synergy document linked to the quotation card in Synergy. As of this product update the template can be stored as a word document, which means that all MS Word functions are available to design your quotation. Together with the quotation merge fields Synergy Office Integration offers in MS Word, you got all tools in hand to make a great quotation your prospect can’t resist.

Exact Globe: How to use multiple addresses in a sales order process

In the sales order process within Exact Globe, users can define different customers for  ‘Ordered by’, ‘Delivery to’ and ‘Invoice to’.

Now think about the following scenario: you’re a supplier and regularly selling to a customer, where this customer has a lot of branches. The customer orders the goods centrally and requires:

  • the delivery to be done to one of their branches
  • the order confirmation be sent to the email address of the contactperson at the branche.
  • Receive the invoice electronically via an email to purchasing department at the headoffice, not to the branche
  • As a supplier, you do want to keep your own  CRM system tidy, define as little customers and contacts as possible, but still be able to define exactly what addresses are relevant for this customer
