Enter sales orders on your iPad in Exact Online!

Catch the opportunity at the moment it happens. That is basically the key value add of having a possibility for you as a sales representative to directly “write” the order at the customer site after the confirmation that the products presented via the item catalog are matching your customer needs.

In the Exact Online iPad app, which is already standard available for Exact Online users and covers a wide range of capabilities, it will soon become possible to create a sales order, directly send a confirmation via e-mail and view sales orders and their status in a very intuitive manner.   Business benefits:

  • Improve customer service level by being able to act and confirm the order on the spot.

 

  • Reduce risk of miscommunication with your customer, which potentially might lead to additional
    contacts or delay in shipping or payments of outstandings.

 

  • Save time and avoid errors in the order intake process by verbal or delayed communication of the requested products to colleagues for further processing

Exact’s Service Management solution video

The Exact Service Management team is currently developing a successor to the Exact Field Service solution, that aims to help wholesale and manufacturing companies who service the products they sell to optimize their service activities.

To give you even more insight in what this solution is and how you can benefit from it, we are pleased to share with you the solution video. In the video you can see how we aim to meet and exceed your needs with our full scale Service Management solution. You will also learn how this solution can facilitate each of the process flow steps, that include service configuration, service activity, dispatching/planning, realizations, validation/approval and invoicing.

Exact’s Service Management solution is in the final phases of development, we plan to start a controlled release period in Q4 of 2011, so stay tuned for announcements on our Product Blog.

Exact online logistics: Yes we are live!

After careful preparation we can now announce that the logistic functionality for Exact Online is commercially available. This is a solution targeting wholesalers/traders who are eager to work with an online (Saas-) solution for purchasing, stock keeping and selling at item level. No longer will you be tied to a single computer or network, but your (logistics) administration will be with you 24/7 from any place in the world.

I have been involved with the development of the functionality for logistics from the very first moment, so I hope you will understand that I consider this launch as an important milestone. Our goal has been to develop a product that of course fits into the Exact Online product, is fast and simple to use and supports the basic logistics operations. Don’t underestimate the power of this solution though.  The sales process is covered from quotation entry to sales order and from goods delivery to invoice handling. The purchase process is more or less a mirror process from the sales functionality. A clear parallel between purchase and sales is that we have recognized a planning (an order) a flow of goods (goods receipts/deliveries) and a financial flow (sales and purchase invoices). From inventory point of view we have created a clear view on the actual stock positions (with the nice benefit of using hyperlinks for every figure that is displayed) and we do provide support for making physical and/or financial stock corrections. Not bad for a start don’t you think?

Also a good thing is that we have used our expertise of previous/other product lines as well and have built a good foundation for future extension. We will work towards the next release (planned for October 2011) and have plans to extend our offering with purchasing (+ drop shipment) based on demand (sales orders), look at extension of sales pricing and of course many other new features. Be aware that many features are also build on customer feedback. This can be both small features (an extra filter or a field on the layout) and bigger features (e.g. integration with a web shop). You are more than welcome to give your response as we will continue to build new functionality in the logistic area.

Finally it’s there! After all the hard work we’ve done, we are now able to present you our new CRM App.

The App has been tested by a lot of our partners and customers during Controlled Release period and the feedback was fantastic. Our Controlled Release candidates rated the App with an average of 8 so far, which is a fantastic score.

A sneak preview of Exact Service Management

As we have informed you before we are busy with creating a true successor of the current Exact Field Service solution in Exact Synergy asp. We promised to keep you up to date with our developments and therefore we created a sneak preview video.

In the video you can see how the Exact Service Management team addresses the many usability requirements that are present in the Exact Service Management solution. The user interface which you can see in the video is currently being implemented by the team.

Exact Online will support your sales process.

As part of the CRM offering of Exact Online, a Sales Force Automation (SFA) module and Quotation module are under development. The SFA module supports registering and following-up of leads, prospects and opportunities, the Quotation module supports creating, sending and processing of official sales quotations. In this first post about these new modules a quick introduction to the functionality.

Leads
A lead is a, mostly unknown, person who was referred to you by another person, or has expressed interest in products you are selling. After creating the lead, all involved activities and communication can be registered and is directly accessible from the lead card.

The process involves collecting more information about the person and the company he/she works for. When several (pre-defined) stages have been passed and sufficient information has been gathered the lead can be converted to an account, contacts, and (optionally) an opportunity.

Opportunities

Opportunities registered in Exact Online help you to efficiently track and close a sales deal. Opportunities can be used to follow your standard company process, strategize against competition, record your actions and other notes and more. They can be created newly or they can be converted from leads.

The opportunity card shows you all general and contact information relevant for the opportunity. From the card activities can be started and followed up and quotations can be created. Opportunity based reports are available to analyze and improve the process and to forecast revenue.

Quotations
Somewhere in your sales process your potential customer hopefully want to receive a quotation for the products he/she is interested in. A quotation can be entered manually or generated from an opportunity.

After entering the products, quantities, and prices, the quotation can be printed on paper or sent electronically by e-mail. Based on the customer’s response, the quotation can be accepted, rejected, or a new version can be created. For accepted quotations an invoice can be generated.

Cockpit
From the standard Sales cockpit or a personalized “My cockpit” actual and relevant information is directly displayed to the user.

Fast and Easy
Exact Online modules are designed to be simply implemented. This means that for the SFA and Quotation modules, default master data and layouts are available.
 

Current status
Both modules have gone through a controlled release phase. The modules were well received and feedback was very positive. Currently the last modifications  based on feedback are being implemented before becoming commercial available in September. At Exact internally, the SFA module is being used by the Dutch and Belgium sales departments of Exact Online.
