In my last day as a product owner I can share this great news to all Android users. Many of you have asked me about when to expect the Android Apps. They are finally there now!
The Exact HR Self Service App and the Exact Expenses App are available to you. These Apps can be downloaded via the Google Play App store. There you will find all information about these Apps.
HR Self Service App: Contains all your information you don’t want to share with your colleagues! Salary slips, Personal files, Vacation requests and Sick leaves. You are able to plan your time off, call in sick and secure your App with a pin code.

CRM App: is in a pre-beta version and only available to a very limited set of users. End of August we plan to have a Controlled Release version availble. If you are interested to join the Controlled Release and run on Exact Synergy PU252 or above, please contact Huwald Smeets via email@example.com. The Android CRM app offers exact the same functionality as the CRM App on iOS and looks even better.

The Exact Field Service App is already used by many customers today. Statistics show that more and more service oriented organizations equip their service engineers with an iPad rather than paper files. They have seen the benefits of linking the activities of their service engineers directly in the back-office. It allows them to approve the activity for invoicing, send a confirmation email to the client when the job has been done and always have an update planning ready for the engineer. Also all stock movements made by the engineer are directly managed in the back-office and never lose track of a signed service order again!
Version 2.0 of the Field Service App offers new features and an improved user interface. Most obvious changes are:
- A new activity can be created from the service order. This way the engineer can send a message to the internal organization when he thinks there is a need for it. This can be that maintenance of a machine is very poor, that he sees an opportunity to replace the existing machine by another one or to request the planner to plan a follow-up appointment at the customer side. Note that user cannot create a new service activity.
- The Field Service App can be secured by the use of a pin code. In the setting, the engineer can define his pin code. Now every time the App is used, a pin code needs to be filled in first.
- The user interface has been adjusted. Goal is to make the service order screen easier to use. This has been done by cleaning up the screen and offer only that information the engineer needs most. Note that all information is still there, only not directly in your face.
- Get informed when an item you want to add to the service order is blocked (only available with latest PU 252 update)
Besides these new features there are hundreds of small adjustments in this version of the Field Service App. Some adjustments are visible, most are not. Have a look and feel the difference!
important: As mentioned, a lot of changes have been made in the App. The communication with the Synergy back-office is improved and fully runs via web services now, just like the other new Apps that are launched this year. Because of this change it is required to open up the web services in your Synergy back-office. You can do this in the Web services settings menu, located in the System tab. Check the ‘Exclude web services function rights’ setting and make sure all checkboxes in the right column are checked. When this is done run an IISreset and you’re save and done! The ‘Exclude web services function rights’ setting allows users to use the web services mentioned in the right column based on their Synergy roles and rights.
All your HR information in one spot? The HR Self Service App is your App with your personal information.
Whether you want to book a day off, check your latest salary slip or view your latest review from your personal files, the Exact HR Self Service App has it all. And for that one time that you’re sick, inform your manager via the App.
The Exact HR Self Service App is your personal App. The App shows your personal information: information you normally don’t share with your colleagues. Besides insight in your time off balance, salary slips, personal files and sick leaves, you’re able to request for a day off or call in sick.

The HR Self Service App is the 4th App in line of our new App proposition. More Apps and Android versions of these Apps can be expected later this year!
A new version of the CRM App is available in the Appstore. This new version (2.0) comes with a couple of new features and fixes, but one really stands out!
With this new version of the CRM App, you’ll have all information available to support you in your daily job and to close that deal. So, what did we do? We added the option to add reports to your home menu and account cards.
What information do you want to check before you contact your account?
- Revenue YTD compared to last year? Do you want to see it at assortment level or per item?
- Or are you interested in the products he did not buy this year?
- Or you simply want to see the pricelist for this customer?
It’s up to you!
And what matters to you? What information is critical for you to make your target and have your sales processes run smoothly?

How to make it available on your CRM App
All the information is there and can be presented in any way you want via SSRS reports. With SSRS reports you can collect all information from your Exact or any other system and present them in a user-friendly way.
Ones the report is made available by the administrator, the user can select which reports he wants to use. This is done in Synergy (web application). Go to the user preferences where you will find a new tab called ‘Mobile’. Here you can define the reports you want to see in the main menu and at the account card. Note that you can also copy over the reports from one of your colleagues.
This function is available as of the latest version of Synergy product update 252. If this function is not available to you, you need to update your Synergy environment first.
Catch the opportunity at the moment it happens. That is basically the key value add of having a possibility for you as a sales representative to directly “write” the order at the customer site after the confirmation that the products presented via the item catalog are matching your customer needs.
In the Exact Online iPad app, which is already standard available for Exact Online users and covers a wide range of capabilities, it will soon become possible to create a sales order, directly send a confirmation via e-mail and view sales orders and their status in a very intuitive manner. Business benefits:
- Improve customer service level by being able to act and confirm the order on the spot.
- Reduce risk of miscommunication with your customer, which potentially might lead to additional
contacts or delay in shipping or payments of outstandings.
- Save time and avoid errors in the order intake process by verbal or delayed communication of the requested products to colleagues for further processing
Sales order entry via your iPad will become available within the coming weeks in Exact Online Wholesale Distribution and Exact Online Manufacturing.
This week we started the Controlled Release of the first two Android Apps new style. The Apps that are in Controlled Release are:

Vier nieuwe apps ondersteunen tijd- en locatieonafhankelijk werken
Delft, 27 mei 2014 – Exact brengt vier mobiele apps voor zakelijke gebruikers op de markt, te weten de Exact CRM app, Exact Expenses App, Exact HR Self Services app en de Field Service App. Met de CRM App en de Field Service app hebben buitendienstmedewerkers alle benodigde klantgegevens altijd binnen handbereik. Persoonlijke informatie als beschikbare vrije dagen, ziekmeldingen en declaraties, zijn nu voor alle medewerkers in een organisatie toegankelijk via de Expenses App en de HR Self Service app. Bedrijfsinformatie uit verschillende bronnen zijn via de app op één centrale plek verzameld en makkelijk te raadplegen, ongeacht de locatie of het tijdstip.
Easy does it! That was what we had in mind when making the Expenses App.
With the expenses App you can book file a new expense report by by making a picture of your receipt. It is as easy as that, it’s all it is.
Of course you also get an overview of your previous entered expenses, directly showing you whether it is approved or even better paid back to you.
With the Expenses App, the administrator is free to define the information you have to fill in at booking your Expenses. He needs to define which request type he wants to use at HRM/Settings/Expense claim and the App will pick it up from here.
The header of the expense entry is fixed, showing default information the user needs to fill in. Directly below this section, the account and project fields are shown (when available in the corresponding request type). All other fields that are set mandatory will be shown below.
For now, the Expenses App is only available on iPhone and iPad. We we are working hard on the Android version which should be available this summer.
This Expenses App works in combination with latest version of Synergy product update 252.
Exact has a focus on Mobile Apps! We believe that Apps makes life a lot easier and brings you exactly that part of functionality that you need and an easy and friendly way. This year alone, we have introduced the CRM App and made the Field Service App available to all our customers. Currently we are running a Controlled Release for our Expenses App, which will become available for you soon as well!
The HR app for Employee Self Service App (ESS App) is about to go into Controlled Release later this month (April 2014) and we are looking for candidates to join.
The ESS App runs on latest version of Synergy Enterprise Product Update 252 and will offer your employees a lot! The App is available for all Synergy users, independent of their role. Functions in the App will be accessible based on the functions the user is allowed to use in Synergy.
The ESS App gives them following functionality:
– Request Time Off
– View Year-end balance
– Overview of all your Time Off requests
– Call in sick
– Overview of all your sick leaves
– View your own salary slips
– View your own personal files
