The new way to get started with subscriptions!

You may already know that we developed a new way to get started in Exact Online. Marco Kastrop wrote about it in his February post Get set, Ready…GO!. He explained there how we learned from the logistic pilot customers that we needed to improve the ‘Getting Started’-process. And we did!

You can access the new subscription Getting Started in both the Panel menu and the new Tab menu, but because I’m only going to show you how to access the Getting Started in the Tab menu, I’ll first explain how to switch to the new Exact Online menu style.

Robert Huberts wrote about the new menu last October in the post Introducing a new menu style for Exact Online. I’ll keep it short and just show you the menu style option.

  1. Click the User settings link in the bottom-left of your screen.
  2. Change the Menu style option from Panel to Tab menu.
  3. Click Save to save the change you’ve made.

* You can easily switch back. In the new style click the General tab and click User setting. It’s in the bottom-right of the General tab.

When you change to the new menu style you can open the subscription Getting Started by clicking Sales tab > Getting Started > Subscriptions (bottom-left).

Congratulations! You’ve made it to the Subscription Getting Started -our new starting point to learn about the subscription functionality, set-up the system and even use the functionality on a daily basis, if you want.

There is a process flow visible that explains the way subscriptions works. Clicking an icon in the flow will guide you to that specific process in Exact Online. Clicking the Invoice generation icon – for example – will open the invoice generation page. Clicking the Invoice process icon will open a more specific Getting Started page where the invoice process is explained.

Furthermore, you have links on the right of the screen to the Customers cockpit and help files. Typing a question in the search box brings you answers from the range of available help documents.

In the top-left of the screen is the link Make this my startpage. If you click this link, this page will open when you start Exact Online. You can change the startpage (or homepage) again in the User settings.

Of course, it is still possible to use the subscription menu to access all the subscriptions functionality. Simply click Sales tab > Subscriptions > Show all.

Is Simplicity the new Gold?

For most business applications the following rules is true: 80% of the users only uses 20% of the functionality. This brings interesting challenges in product design. I already touched this in an earlier article on Functions & Features versus User Experience.

Over the years most products gain more and more powerful features that are often useful for the power user part of the audience, for the rest of the audience these new feature are often considered noise. Customization and personalization are used to address the signal versus noise ratio. Unfortunately this only increases the over all complexity and studies have also shown that personalization is only used by a small group or users.

Companies like Apple and Google have mastered the art of creating simple and powerful products and used this to differentiate from the competition. This is best expressed by Simplicity by Eric Burke. Recently we also see other companies adopting alternative simpler versions of their products. The best examples are Facebook Lite and YouTube Feather. Based on direct customer feedback these companies have recognized that not all users need all the functionality all the time. Especially the more casual user requires a different signal to noise ratio to remain efficient and productive. It’s worth to note that these ‘lite’ versions do not replace the ‘full’ versions but offer an alternative.

Want to get to know your customers better?

Exact Online users in Belgium can now benefit from a new integrated service. Through collaboration with the Belgian organization GRAYDON, they can now learn much more about who they do business with.

Graydon Belgium NV manages a huge volume of information on all Belgian companies, gleaned from a variety of sources including official publications, phone books, internet sites and legal documentation. As a service company, they create and sell customized reports, give ratings and offer further advice tailored to their clients’ specific needs.

These reports can be extremely valuable in understanding other businesses better, particularly when planning a significant interaction with another company. 

What is the payment experience?
Graydon’s “Payment experience” report allows you to view a company’s payment activities on a quarterly basis, seeing how well they meet their invoices on time. Every month, Graydon’s members supply the aging balances associated with all their Belgian customers, allowing Graydon to generate a clear overview of how well Belgian companies service their debts to their suppliers.
As a Graydon customer (member of the Graydon community) this report is available for free. All that’s required in return is collaboration with Graydon, agreeing to also send them the aging balances of all your customers every month. 
Excitingly for Exact Online’s customers, we’ve made this valuable process easy and accessible, integrating the process directly into EOL’s functionality.

Activating collaboration with Graydon.
Despite the power we believe this service to offer, Exact Online’s customers are not automatically entered into the collaboration. A link to start the process is in the account card. Clicking on the link starts a wizard, outlining the benefits of taking part in the Graydon community.
Once the conditions are agreed to, an e-mail is sent to Graydon automatically. On receiving the e-mail, Graydon activate the company in their back office and send through a customer code, login and password. It couldn’t be much easier.

Sending the aging balances to Graydon.
Every first day of the month, Exact Online customers who have activated the Graydon collaboration will get a task in their cockpit. Clicking on it opens a wizard that sends Graydon an e-mail. A CSV file detailing the outstanding items for Belgian customers will be attached. It’s that simple. Graydon has everything they need from you with one click of the mouse. Once the file has been sent, this task disappears from the cockpit until the same time next month.

Review your customers’ payment behavior quickly and easily.
Rather than doing a manual search in the Graydon site, Exact Online users can directly access the reports they need within their administrations. A hyperlink in the customer’s account card will send the user straight to the information they are looking for.

This new built-in service helps strengthen the community aspect of our Exact Online users. We are linking individual companies together through the easy sharing of important information, making it easier for our customers to make the right choices and develop valuable relationships. Graydon’s ecosystem offers powerful business intelligence, joining it a move that can genuinely exert a positive influence on cash flow.
