Smile! Your Synergy profile picture is available everywhere!

A lot a valuable data is stored in Synergy. Pictures of people are one of them. Using these pictures in communication tools such as MS Outlook and MS Lync offers a great user experience! With Product Update 250 we deliver Windows PowerShell scripts which allow uploading Synergy profile pictures into Active Directory. After this every known person will show the Synergy profile picture in the communication tool. So now you actually see whom you communicate with; isn’t this great!

Together with our Gold Partner Nobel we have developed these scripts and they are ready to be delivered to all of our customers. When Product Update 250 will be generally available the ‘how to’ documentation will also be provided. I will reply to this article with the link of the user guide. The provided script is for people but can also be used for contact persons which have portal access. You just need to modify the query in the script.

Want to get to know your customers better?

Exact Online users in Belgium can now benefit from a new integrated service. Through collaboration with the Belgian organization GRAYDON, they can now learn much more about who they do business with.

Graydon Belgium NV manages a huge volume of information on all Belgian companies, gleaned from a variety of sources including official publications, phone books, internet sites and legal documentation. As a service company, they create and sell customized reports, give ratings and offer further advice tailored to their clients’ specific needs.

These reports can be extremely valuable in understanding other businesses better, particularly when planning a significant interaction with another company. 

What is the payment experience?
Graydon’s “Payment experience” report allows you to view a company’s payment activities on a quarterly basis, seeing how well they meet their invoices on time. Every month, Graydon’s members supply the aging balances associated with all their Belgian customers, allowing Graydon to generate a clear overview of how well Belgian companies service their debts to their suppliers.
As a Graydon customer (member of the Graydon community) this report is available for free. All that’s required in return is collaboration with Graydon, agreeing to also send them the aging balances of all your customers every month. 
Excitingly for Exact Online’s customers, we’ve made this valuable process easy and accessible, integrating the process directly into EOL’s functionality.

Activating collaboration with Graydon.
Despite the power we believe this service to offer, Exact Online’s customers are not automatically entered into the collaboration. A link to start the process is in the account card. Clicking on the link starts a wizard, outlining the benefits of taking part in the Graydon community.
Once the conditions are agreed to, an e-mail is sent to Graydon automatically. On receiving the e-mail, Graydon activate the company in their back office and send through a customer code, login and password. It couldn’t be much easier.

Sending the aging balances to Graydon.
Every first day of the month, Exact Online customers who have activated the Graydon collaboration will get a task in their cockpit. Clicking on it opens a wizard that sends Graydon an e-mail. A CSV file detailing the outstanding items for Belgian customers will be attached. It’s that simple. Graydon has everything they need from you with one click of the mouse. Once the file has been sent, this task disappears from the cockpit until the same time next month.

Review your customers’ payment behavior quickly and easily.
Rather than doing a manual search in the Graydon site, Exact Online users can directly access the reports they need within their administrations. A hyperlink in the customer’s account card will send the user straight to the information they are looking for.

This new built-in service helps strengthen the community aspect of our Exact Online users. We are linking individual companies together through the easy sharing of important information, making it easier for our customers to make the right choices and develop valuable relationships. Graydon’s ecosystem offers powerful business intelligence, joining it a move that can genuinely exert a positive influence on cash flow.

Exchange payments and account information directly with your banks

Previously I have mentioned about the growing demand of Exact Globe customers to have the ability to start sending payment and collection orders to banks online and receiving bank statements online and thus having banking information real-time available.

This demand is being acknowledged by Exact and as a result we have firm plans on implementing such solutions so all up-to-date banking information is automatically at your fingertips.

As from the product update 401 Exact Globe supports this way of working with Rabobank in the Netherlands. It provides integration and automatic exchange of the bank payment files, bank collection files and bank statement files between Exact Globe and Rabobank, based on the Exact Online technology platform.

Since last month, when Exact Globe product update 401 went generally available, more than 150 Exact customers have registered for this solution!

Furthermore, in the coming Exact Globe product update 402, Belgian customers will enjoy fully automatic integration with Isabel Go . With the help of Isabel Go integration in your accounting package, you can exchange payments and account information directly with your banks.

Today Exact is also conducting research into presenting this way of working with other Dutch banks. Exact Online has already successfully launched automatic bank statement synchronization with ABN AMRO. Exact Globe customers will have the same opportunity in the nearest future.

Email your expense claim to Synergy Enterprise

I am at the airport and just finished my steak when I receive the bill. After I pay the bill, I make a photo of it with my mobile and send it to expenseclaim@mycompany.com. Within a minute, I receive an email message that informs me that an expense claim is created in Synergy Enterprise with the bill linked to it.

This is just an example of a business case we want to support. Of course the bill can also be a visit report that you send to visitreport@mycompany.com or a quotation you send to a customer and CC to quotation@mycompany.com. Another scenario is that information entered on a website is send to a mailbox info@mycompany.com. All email messages here result in request for the sales inside department.

Hopefully these examples give you an idea of the solution we want to offer. With this solution you can define action per email address: created request X and/or document type Y for every incoming email. The request and/or document is email address specific, so an email received at info@mycompany.com can result in an ‘Information request’ where an email received at expenseclaim@mycompany.com can result in an ‘Expense claim request’ with the bill linked to it.

Before we offer this functionality to all our customers, we want to start with a small group of customers to work with it. Together with this group we can evaluate the solution.
