Product updates 255 and 410 generally available

As of today Exact Synergy product update 255 and Exact Globe product update 410 are generally available. In the product updates several new functions and improvements have been made available such as a new interface for Exact Synergy and enhancements for the Exact Globe WMS solution.

Exact Synergy

The new Exact Synergy user interface is shown after performing the update. The complete user interface has undergone a transformation to a more innovative and visually attractive design. Read all about the changes in these blog posts.

In addition, there are also several improvements in the service management solution, such as the possibility to use selection codes and payment conditions, the availability of free fields, the possibility to determine the order of agreement lines and new lines in the contract and much more.

Please note that Microsoft Exchange 2003 is no longer supported as of product update 255.

Exact Globe

In Exact Globe there are several improvements in the WMS solution. It is now possible to use pre-collection via which the picking advice is generated based on totals instead of separate order lines, and you have the possibility to allocate stock on SKU level.

There is also a separate controlled release of a change regarding the splitting of order lines when allocating free stock. As of this product update actual splitting of sales order lines due to stock allocation of free stock is minimized. The order lines will be displayed as entered when creating the order regardless whether stock is allocated to these lines. This functionality can be made available on request in product update 410. Exact Synergy Enterprise 253 in controlled release

As of this week Exact Synergy Enterprise product update 253 and Exact Globe Next product update 408 are in Controlled Release. This means that customers who participate in the controlled release phase can download the new product updates. In these product updates many new functions and improvements are available.

In Exact Synergy Enterprise there are improvements in the PSA solution the Service Management solution and in the mobile app.

New item codes from your supplier?

When you receive a file with the new item codes from your supplier, you can update your items in one go. The batch update functionality is best used for this purpose.
In product update 401, the batch update functionality has been enhanced. You can maintain your ‘supplier’s item code’ and update the information automatically using batch updates.

Let’s take an example:

Supplier 60120 Roode Pelikaan send a list with new item codes. Via maintain items, you can use the batch update functionality. Select the supplier, mark the check box ‘Supplier’s item code’ and press ‘Show list’:

Adjust the column ‘New’ with the new item codes received from your supplier. After adjusting the item code(s) you can update by pressing the ‘Exact Globe: Update’ button.

All adjustment items are updated and ready to be used

Exact Globe product update 401 in Controlled Release

On behalf of the Product Management team, I am pleased to announce that Exact Globe product update 401 is in controlled release. This new product update is planned to be generally available at the end of May 2011.

 A large group of customers are already lined up to participate in the controlled release and start using it. On top of that all of Exacts partners/resellers are able to download the 401 product update as well.

With our users’ needs in mind, we have added in this product update new functionalities that are important to our customers’ operation and will facilitate their business. Among others, we have enhanced Exact Globe with the following features:

  • Central Master Data Management for Items is in extended controlled release
  • B2B E-commerce Portal that facilitates wholesale trade and manufacturing companies in their need for optimizing electronic ordering process in a Business-to-business  environment 
  • Handling of bounced and refunded collections in cash flow management
  • For the Dutch customers of Exact Globe we introduce Rabobank Online. This solution offers online integration and automatic exchange of local bank payment files, bank collection files and bank statements with the help of the Exact Online platform.
  • To better support manufacturing companies several improvements in production order entry, BOM and logistics have been implemented

Moreover in this product update we have further extended and improved support legal as well as banking requirements.

Based on direct customer feedback, we continuously improve our products. In this product update you will find among others the following enhancements: 

  • Multilingual unit description supported in logistics
  • Ability to fulfill Sales orders in combination with underpaid pre-payment invoices
  • Update purchase prices based on sales prices

Additionally, the Word merge functionality in Exact Globe is now fully supported with MS Word 2010 thanks to the Content Controls solution.

Multi-browser compatibility – where are we now?

We are moving forward with the multi-browser compatibilty and it’s time for an update. As you know our goal is to support the following browsers:

  • Microsoft Internet Explorer
  • Google Chrome
  • Apple’s Safari
  • Mozilla Firefox

In my previous blog I shared with you some important improvements in the multi-browser compatibility. Among others we have added a new document editor that enables you to create and edit documents, you could as well create and edit workflow or view Microsoft SQL Server Reports.

In the product update 245 we added new functionalities that are multi-browser compatible. You can now view and edit your homepage and customize menus in your preferences. Moreover, the personnel cards and search functionality, when searching for people, accounts and documents, are now compatible with multiple browsers.

The only fully supported browser is Internet Explorer. While some functionality may be available in other browsers, they are not officially supported.

Support for Windows Server 2003 will be discontinued as of product update 409 and 254

To provide you a great user experience Exact products use the newest technologies. To support these new technologies the system requirements are revised regularly when releasing a new product update. This is also the case for product update 409 and 254. As of product update 409 and 254 the system requirements will change. For instance, the installation of Microsoft .Net Framework 4.5 will be a requirement.

Because Microsoft .Net Framework 4.5 is not supported for Windows Server 2003, and because according the Microsoft support lifecycle policy the support for Windows Server 2003 will stop as of July 2015, we are unfortunately forced to stop the support for Windows Server 2003 as of product update 409/254.

If you are using Windows Server 2003 and want to update to product update 409/254, we advise to timely upgrade to a newer supported operating system.

Service Management: Service Activities explained

Service Activities explained

The service activity is used to register the whole process from entering the request until the invoicing. The service activity is an Exact Synergy Enterprise request with extra options. You can view the configurations of a customer, and choose the service that is required. In addition, you can create one service activity or multiple service activities.

In the service activity, you can register what needs to be done, including linking standard problems and standard solutions to help in the process. The service activity can be created automatically from the Exact Globe sales order screen, or by the preventive maintenance generator. It can also be created manually.

You have the option to select one engineer or more who will do the job, and when they will do it. However, it is more efficient to leave this blank, and use the dispatch board for the planning. On the dispatch board, you will have a bucket with all the to-be-planned service activities, and you can use the drag-and-drop feature to plan which engineer(s) will be working on that date. You will be able to view the relevant information, which you can customize, so planning for the right engineer at the right time will be faster and easier.

You can also plan for the items that are required for the service activity, which can be pre-filled from the contract. Discounts can be used for the contracts. When planning the items required, stock information from Exact Globe is visible, and the stock is automatically planned in Exact Globe so the purchase orders can be generated or available stock can be allocated.

The engineer can realize the hours and used items based on the planned activities. After authorization, the invoice can be created. When the invoice is sent from Exact Globe, the detailed documents from Exact Synergy Enterprise will be automatically printed or emailed. This will all be in the Exact Synergy Enterprise software, and integrated in all the relevant master data and menu paths.

Using tabs in your workflow request

As of product update 247 Exact Synergy Enterprise supports tab sheets in workflow requests. Although you should always carefully consider when it’s better to have all information one screen or when tabs are more useful, you now have that option. In general, using tabs could be nice when the information that needs to be shown belongs to a specific workflow state, but off course it’s totally up to you when to use this functionality.

How to enable tabbed request sections?

In order to adjust an existing request type to use tabs you need the appropriate function right (Function Right 232: Function: Viewing and Modifying Workflow Requests) to adjust the request definition. For the sake of simplicity, I will assume you are a system administrator which has the appropriate function rights. To adjust existing request types go to the request type definition (open any request of the type you want to change and press I in the upper right corner).

You are now in the request type definition page. If you go to the fields tab sheet, you will find a checkbox on top (Show sections as tabs). If you check it, all sections that you have defined in the request will be automatically turned into tab pages. The process is reversible so you can play around with it. After you saved the request type, go back again to a request of that type, you will see it has changed the sections into tab pages.

New Synergy design video

Based on your feedback after the introduction of the new user interface in product update 244, we did some major enhancements. As of the product update 245 we did, among others, the following improvements:

  • Mega menus display options of what you have access to based on your license roles
  • The Right top menu includes for example alert menu which displays your ‘to do’ list, document menu to view or create documents and a list of your recent contacts
  • We have added a Quick links section in the right bar with links to for instance reports and activity
  • Self-service wizard has been moved to the right side and includes now time-off, personal file and new wizard for medical leave and expense claim
  • We have standardized the layout for account, project and personal card. They include a business card view and quick links. You can now adjust the tabs on the card according to your needs by simply dragging and dropping them

The new Synergy design comes to life

I already posted a few articles on specific functionalities in the new design of Synergy. Every feature we are adding to the product is the result of creative development processes and research. In this blog post I would like to inform you about the development of the new Synergy design.

The foundation of the new design is the great diversity of possibilities that Synergy offers. The look and feel is only part of the overall development process. To really grasp design is to intuit what you as our customer want. We intend to offer the new design of Synergy Enterprise based on needs in your daily work and to help you to make your work easier and more comfortable. We collect information via workshops in which we zoom in on certain specific elements of our product. Obviously the responses we receive via the Exact product blog are also very valuable for our development process.

The next step after we have collected all the information is to create wireframes. Wireframes are simple, schematic representations of undeveloped pages. We usually test our ideas with end users during one-on-one interviews, when we also present these wireframes. This often results in an interactive session. It is possible that we repeat the process if it happens that the wireframes need to be drastically changed. In general we have a good and clear idea of how you are using our software and as a result we are often on the right track. And that is what makes our job so interesting every single day.

One of the processes we are using in the Project team is User–centered design (UCD). UCD is a process in which the needs, wants, and limitations of end users are given extensive attention at each stage of the design process.

In this process, we also take the suggestions and ideas – which we receive from you via the feedback button in the software – into account for further development. As you probably already noticed there is also a feedback button in the preview version of the new design in Product update 245. Your feedback is always welcome!
