Mail2ExactOnline: store your documents in Exact Online by mail

mail2eol - stockTo be able to work as efficient as possible Exact Online already offers a lot of features like scan & recognise, bank connections and template management. By introducing Mail2ExactOnline another milestone has been achieved: store (batches of) invoices, mails and documents in Exact Online by e-mail.

Why? Many multi-functional printers have nowadays the option to mail scanned documents. As well more and more invoices are received electronic (PDF) and mail. Currently Exact Online users need to download documents before uploading in Exact Online.

By the introduction of Mail2ExactOnline, the ease to add (batches of) invoices, mails and documents in Exact Online will increase significant. This innovation enables accountants and their clients to automate the entry process furthermore and to store mails and documents in the dossier in an ease way.

What? By introducing Mail2ExactOnline accountants and entrepreneurs can send all kind of documents, invoices and receipts by mail or via the multi-functional printers direct to the digital postbox of Exact Online.

When the scan & recognise service has been activated purchase and sales invoices are automatically transferred to the service. CRM-related documents, like proposals, mails, contracts etc., are direct allocated to the supplier or customer card in Exact Online.

When? Mail2ExactOnline is now general available in Exact Online in all countries.

Not 1, not 2, but 3 new Android Apps for Exact Synergy Enterprise

In my last day as a product owner I can share this great news to all Android users. Many of you have asked me about when to expect the Android Apps. They are finally there now!

The Exact HR Self Service App and the Exact Expenses App are available to you. These Apps can be downloaded via the Google Play App store. There you will find all information about these Apps.

HR Self Service App: Contains all your information you don’t want to share with your colleagues! Salary slips, Personal files, Vacation requests and Sick leaves. You are able to plan your time off, call in sick and secure your App with a pin code.

Expenses App: Easily book your expenses! View your previous expenses, secure your App with a pin code

CRM App: is in a pre-beta version and only available to a very limited set of users. End of August we plan to have a Controlled Release version availble. If you are interested to join the Controlled Release  and run on Exact Synergy PU252 or above, please contact Huwald Smeets via productreadiness@exact.com. The Android CRM app offers exact the same functionality as the CRM App on iOS and looks even better.

Exact CRM App: Insight in account revenue, outstanding amounts and everything else you need

A new version of the CRM App is available in the Appstore. This new version (2.0) comes with a couple of new features and fixes, but one really stands out!

With this new version of the CRM App, you’ll have all information available to support you in your daily job and to close that deal. So, what did we do? We added the option to add reports to your home menu and account cards.

What information do you want to check before you contact your account?

  • Revenue YTD compared to last year? Do you want to see it at assortment level or per item?
  • Or are you interested in the products he did not buy this year?
  • Or you simply want to see the pricelist for this customer?

It’s up to you!


And what matters to you? What information is critical for you to make your target and have your sales processes run smoothly?

  • Do you want to have an overview of your won deals compared to your target?
  • A graphical overview of your sales pipeline?
  • One overview with killing sheets of your competitors?
  • …………….

How to make it available on your CRM App

All the information is there and can be presented in any way you want via SSRS reports. With SSRS reports you can collect all information from your Exact or any other system and present them in a user-friendly way.

Ones the report is made available by the administrator, the user can select which reports he wants to use. This is done in Synergy (web application). Go to the user preferences where you will find a new tab called ‘Mobile’. Here you can define the reports you want to see in the main menu and at the account card. Note that you can also copy over the reports from one of your colleagues.

This function is available as of the latest version of Synergy product update 252. If this function is not available to you, you need to update your Synergy environment first.

Insight into margin when negotiating a sale!

In scenarios where lowering the sales price of a product or some products in a Quotation or Sales order is needed to make the sale, it is important to have direct insight in the margin you are expected to make. In a competitive environment one cannot always stick to the list price, still it remains important to retain healthy margins and when not, then let it be a conscious decision to give some on the short term in order to gain or retain a long term relationship with your customer.

Support for push notifications in the CRM apps

After a successful pilot phase, the Exact Synergy CRM app now supports push notifications. Push notifications will pop-up on your mobile device once a new task is added to your workflow or when a task is due. Another great functionality of the CRM app to work smarter.

To be able to use the push notifications feature, you’ll need to update to the latest version of Exact Synergy Enterprise, 254.

Delft, 27 mei 2014 – Exact brengt vier mobiele apps voor zakelijke gebruikers op de markt, te weten de Exact CRM app, Exact Expenses App, Exact HR Self Services app en de Field Service App. Met de CRM App en de Field Service app hebben buitendienstmedewerkers alle benodigde klantgegevens altijd binnen handbereik. Persoonlijke informatie als beschikbare vrije dagen, ziekmeldingen en declaraties, zijn nu voor alle medewerkers in een organisatie toegankelijk via de Expenses App en de HR Self Service app. Bedrijfsinformatie uit verschillende bronnen zijn via de app op één centrale plek verzameld en makkelijk te raadplegen, ongeacht de locatie of het tijdstip.
