After a successful controlled release period, product update 242 of Exact Synergy Enterprise is General available as of today. The highlights of this new update, we’re announced earlier on this blog in this post.
For most business applications the following rules is true: 80% of the users only uses 20% of the functionality. This brings interesting challenges in product design. I already touched this in an earlier article on Functions & Features versus User Experience.
Over the years most products gain more and more powerful features that are often useful for the power user part of the audience, for the rest of the audience these new feature are often considered noise. Customization and personalization are used to address the signal versus noise ratio. Unfortunately this only increases the over all complexity and studies have also shown that personalization is only used by a small group or users.
Companies like Apple and Google have mastered the art of creating simple and powerful products and used this to differentiate from the competition. This is best expressed by Simplicity by Eric Burke. Recently we also see other companies adopting alternative simpler versions of their products. The best examples are Facebook Lite and YouTube Feather. Based on direct customer feedback these companies have recognized that not all users need all the functionality all the time. Especially the more casual user requires a different signal to noise ratio to remain efficient and productive. It’s worth to note that these ‘lite’ versions do not replace the ‘full’ versions but offer an alternative.

One of the biggest efficiency boosters to come our way recently is the new presence control in Exact Synergy Enterprise update 242. With the presence control you can see exactly who’s available to help you out, and even better, contacting them is just a mouse click away.
Often we receive questions from people that need to take documents from Exact Synergy Enterprise with them, for instance when visiting a customer. To Exact Synergy Enterprise product update 242 we have added a document downloader. Based on all your filter criteria you can easily download a set of documents (including the attached files). So if you are looking for a way to download all 2009 documents from a certain customer, just set the filters right and go ahead.
The document downloader is a small application that you install on your computer. It gives you the full document search to make your selection and do the download. Within your selection you can even make it more specific and you can also use search templates. The document body will be stored as HTML and all attachments in their original format.
The document downloader is part of Exact Synergy Enterprise product update 242, so get subscribed to the controlled release program and try it out yourself. The document downloader is a very usefool tool: it leverages the full advanced documents search and its possibilities are numerous.

New brand strategy: rebranding our products
This week we celebrate our anniversary and today we have reveilled a new brand strategy to the world. As you can see on this blog, a new visual identity with a new logo and a new tagline, ‘Exact. And it all comes together.”, are part of this new brand strategy. We have launched a new website, all over the world our offices have been redecorated and the new logo already shines brightly on our new headquarter office that is under construction.
As a customer using Exact Globe, Exact Synergy and Exact Synergy Enterprise you will notice that your product has been rebranded too. As of today, if you update or upgrade your software, our new visual identity will smile at you whenever you start your systems. Our Exact Online customers have maybe already noticed that the live environment of Exact Online has also been rebranded during the weekend.

But there is more to celebrate. Today we are also proud to announce that we are supporting more than 10.000 Exact Online customers in the Netherlands with growing their businesses. Thank you all for the trust you have placed in us! We will keep innovating and extending our Exact Online offering in the coming period of time, just like we have done in the past.

And like that is altogether not enough reason to have a party, today we have also made product update 395 for Exact Globe available for you to download. Route incoming invoices from Exact Globe and follow up on them easily
Once an invoice is created in Globe, a request to approve it, complete with all payment details will arrive into the workflow of a designated employee with a sufficient purchasing limit. A scanned copy of the original invoice will be linked to the request as a regular Synergy Enterprise document.
Employees can use all flexibility of Synergy Enterprise workflow to process the incoming invoices and resolve any arising questions.
Note, that this functionality was previously available for Exact Synergy only and is now also applied to Exact Synergy Enterprise.
View sales quotations from multiple Globe administrations directly from Synergy Enterprise
Existing Globe customers now get access from one location in Synergy Enterprise to key logistics reports per division. There are two important advantages that are delivered: The reports are available for multiple Globe administrations and the reports are delivered in real time.
The following Globe reports become available:
- sales invoices;
- sales, service and purchase orders;
- item-balance lists;
- stock positions;
In addition to that, a user can enter hours into a Globe administration directly from Synergy Enterprise. With these reports available directly from Synergy Enterprise, many more users in the organization become updated with accurate back office information.
A colleague that you need to talk to becomes only one click away
Customers that already use Microsoft Office Communication Server can make collaboration between Synergy Enterprise users easier and more spontaneous. Synergy Enterprise users immediately see which of their colleagues are now logged on, busy or available to talk.
One can start an instant chat, place a call or send an email just by clicking an Office Communicator presence icon next to a colleague’s name. The presence icon is an indication of the colleague’s availability and willingness to communicate and lets the others choose the time and the best means to contact him.
Integration with Office Communication Server allows a Synergy Enterprise user to contact the document editor directly from a document, a member of the project directly from a project card, an account manager directly from a card of a customer and a colleague that has a follow up action pending directly from the request.
Using the tool, a consultant can build start pages linked to documents and requests in one Synergy Enterprise environment and
save them into templates. He can import these templates into a customer’s Synergy Enterprise environment during the implementation and update the templates with new configuration data. Templates can also be shared with colleagues.
Additionally, the tool simplifies the job of internal IT staff that needs to migrate changes between separate development, test and production Synergy Enterprise environments.
The configuration tool is the foundation of Exact’s Business Made Easy offering.
Do less manual work when creating requests
It is now possible to attach files to a request without creating a document first. If a support desk employee wants to share a screenshot with a colleague, he only needs to create a task and attach an image directly to it.
Secondly, all fields are now duplicated when a copy of a request is created, including remarks and attachments. As a consequences, remarks in a sales cycle are accumulated and retained in each of the stages.
A typical Synergy Enterprise user usually creates a lot of requests. Now he save a few precious minutes every time he does it.

As of last week product update 395 of Exact Globe is generally available. In this product update Exact Globe is certified for Windows 7. With this introduction video we will answer some of the FAQ’s around the topic. Next to that we will show you some of the new features we have developed which make use of the new options in Windows 7. Exact is excited that Exact Globe is one of the first enterprise solutions that received the certification. We are convinced that we will provide an improved user experience and that we will enhance the user productivity.
Segregation of duties is an important topic for many of Exact’s customers. The video below gives an explanation on how to give users of Exact Globe rights to view accounts (customers, prospects, suppliers etc) but not give them right to edit those accounts.

Today is an extremely exciting day for us at Exact. Together with our 25th anniversary we have launched a brand strategy and visual identity, a new corporate website and we have adopted ‘Exact’ as our new company name. More information about that is to be found in the Exact anniversary blog post that is published today.
At the Exact product organization we have made product 395 for Exact Globe also generally available today. For you that means that you can benefit from lots of new functionality and new possibilities.
First of all, as of this product update Exact Globe is officially certified for Windows 7. So if you have to buy new notebooks or pc’s for your organization, or if you want to upgrade the machines you currently have: Exact Globe supports the ‘latest and greatest’ Microsoft operating system. We are not going to tell you why you should consider Windows 7, as Microsoft can explain the benefits of Windows 7 much better than we do. One feature we do want to highlight: we have made the new Windows jumplist to work perfectly together with Exact Globe.
If you are a user of the E-Report module in Exact Globe, you are for sure going to benefit from Crystal Reports XI. This is our new reporting engine for Exact Globe E-Report, offering easier report design, simplified report maintenance and expanded data access. Every customer with an active maintenance agreement for E-Report will receive a DVD with the Crystal Reports XI software. Important: For E-Report users it is mandatory to install Crystal Reports XI together with product update 395.
Electronic Invoicing is a hot topic at the moment: it saves you the costs and efforts of printing and sending physical invoices, it saves your customers the costs of entering invoices in their bookkeeping systems and without using paper, ink and transportation services it also saves the environment. Product update 395 offers customers in the Netherlands and Belgium the opportunity to send invoices electronically. Electronic Invoicing currently supports exchanging invoices between Exact solutions and during this introduction period the use of this new service is free.
Under the hood, we have also done quite some efforts to improve the performance of Exact Globe. The degree of improvement you will notice is influenced by a lot of factors in your hardware and software. We are however proud to let you know that we received very positive feedback during the controlled release phase from both our partners and customers.
