Mobile invoicing for Exact Online

Checking your sent invoices quickly and easily whenever and wherever you want can also come in pretty handy: staying up to date means staying on top. And the capability to invoice immediately is also a big help. With all the relevant figures fresh in your memory, it ensures accuracy and means your customers won’t quibble with the contents. So you reinforce your reputation for detail and invoices get settled faster.

Add costs to a reminder in Exact Online

As you probably know all too well, not all customers pay their invoices on time. And when they do start dragging their heels, you need to start applying the pressure. Adding costs to a payment reminder helps to get your invoices settled faster by automatically giving late payers the nudge they need. It saves time and trouble, because you don’t have to follow up by phone or write a friendly (but firm) email. And it can also save money, getting cash into your account more quickly where it can start earning interest or save you going overdrawn.

The new Exact Online financial dashboard! What do you need to know?

Soon the new financial dashboard will be generally available for all customers. Earlier this year the financial dashboard was one of the first features that was made available via Early Access where our existing users could get used to this dashboard. Exact Online Accounting users who started with Exact Online in November are already working with the dashboard.

Let’s start with why we have a new financial dashboard. We wanted you to have one central starting point for accounting in Exact Online. From the dashboard you have direct insight into how much money you have, how much you will receive, and how much money you owe. But it also serves as a main entrance to Exact Online’s main accounting functions.

What do you need to know?

The new financial dashboard consists of six sections:

  1. Overview (identified by your company name)
  2. To do (identified by the bell icon)
  3. Bank / Cash
  4. Sales
  5. Purchase
  6. Result

How do I navigate the financial dashboard?

You can open or close the dashboard sections with the arrows. You get more information when the section is open. The dashboard remembers whether you have opened or closed a section.

What does the To do section in the top right corner do?

The To do section displays financial and general tasks you need to complete, such as your VAT return or reminders to send to your customers. When you click on the General, Bank / Cash, Sales, or Purchase segments, the corresponding section expands. Click the bell icon to expand all the segments at the same time. Now you can see all the tasks that are open and start to complete them.

How can I create bank, cash, sales, purchase and general journal entries?

You can find all actions in the blue buttons or in the drop-down menus in the Bank / Cash, Sales, Purchase or Result widget. So if you want to add a cash entry, click on the drop-down menu in the Bank / Cash widget and choose Enter a cash statement. Do you want to create a purchase journal entry? Click the blue button in the Purchase widget. Click the blue button in the Result section to create a general journal entry.

Where can I find my outstanding items?

In the Sales and Purchase widgets you can find the total amount of your outstanding items and a graph that displays them distributed over the number of days outstanding. When you click on the columns in the graphs, you go to the Totals tab of the Ageing analysis report. In the Ageing analysis report you can find all the (overdue) outstanding items. In the Invoice (Account): Name and Invoice (Account): Code tabs, you can see all of the outstanding and overdue items per account.

How can I see my revenue, costs, or results per month?

In the Result widget, there are three segments: Revenue, Cost, and Result. Click on these segments to change the information displayed in the graph. When you hover over each element on the graph, you can see revenue, cost, or result per month.

How can I view the balance sheet or profit and loss statement?

In the Result widget, there are three segments: Revenue, Cost, and Result. When you click on the Result segment, a graph is displayed. Hover over each element on the graph to see the result per month. Click on the graph itself to view the balance sheet / Profit and loss statement.

How can I compare my revenue, costs, or result with the previous year?

In the Result widget, you can compare your revenue, costs, or results with the previous year. When you click on a segment, a graph is displayed. When you hover over each element on the graph, you can compare the revenue, costs, or result with those of the previous year.

Where can I find the links to reports I used to have in the old financial dashboard?

For balance sheets or profit and loss statements, see the question “How can I view the balance sheet / profit and loss statement?” above. To view the other reports, follow these paths:

  • G/L transactions: Financial > G/L account > Transactions
  • VAT overview: Financial > Taxes and returns > VAT overview
  • Documents: Document menu ( ) > Overview documents
  • Bank links: Company name > Master data > Bank > Bank links

Login to your Exact Online mobile app with a pin code or touch id

Often we get the question whether our Exact Online apps can be opened with an extra security. Now our apps are making use of the basic security of the phone and tablet. Because the feedback from our customers is very valuable for us, we have created a solution to improve the security.

Now it is possible to first enter a pin code before the Exact Online app opens. This option is not mandatory so if you don’t need extra security you don’t have to use this option.

For iPhone 5S and 6 users with iOS8, we introduced an additional security. They can also open the Exact Online app for iPhone using a touch id access protection. This means using your fingerprint for authentication.

A new entry screen for your sales and purchase invoices!

We never stop working on a better experience for you. One year ago we introduced a new purchase and sales entry screen in Early Access and with the feedback we received from thousands of users, we improved the screen to make it even easier and faster.

Because this screen is the most often used of all screens in Exact Online, we were extra careful with making changes. We regularly validated the changes with users to make sure that they could get used to the changes fast.

Mobile invoicing for Exact Online for iPad

You want to be able to bill your customers as soon as the job is done. Check or view your sent invoices, in a simple way, whenever and wherever you want. This will save you time, you will always be up to date and you will build a reputation with your customers because of the accurate invoice. No discussion on what has been invoiced, it was created on the spot. And as a result  your invoices will be paid faster.

Small enhancements in the Exact Online mobile apps!

Last month the Exact Online mobile team worked on several enhancements in our mobile apps.

Project code for time entry

By popular demand we have added project code to the project description. When recording your time entry, selecting the project can now be done on project code. Especially useful when you have multiple projects with the same description.  This enhancement will be available in Exact Online iPhone and Android app version 4.5.0.

Create address line 2 and 3 data

When creating new accounts or adjusting existing ones, it is now possible to enter several address lines. When you are entering an address line you can add more address lines by tapping on the return button. Via the browser in Exact Online you will see the data at Adress line 2 and Adress line 3 fields, but by default not visible at the account card.  To activate those fields you will have to add them by customizing the account card. This enhancement will be available in Exact Online iPhone and Android app version 4.5.0  or Exact Online for iPad version 2.5.0.

Menubar is hidden in some Android devices

On some Android devices like the HTC One and Nexus you will not a have a menu button on the device itself.  For these models we adjusted the action bar. A separate menu bar in the top right corner of the screen is added where you can find the settings and log off options of the Exact Online App. This is according to the guidelines of Android.

Finally, in version 4.5.0  we have made all screens compatible for the iPhone6 and iPhone6+ screen sizes!

A new financial dashboard in Exact Online

Soon the new financial dashboard will be generally available for all customers in all countries. Earlier this year the financial dashboard was one of the first features that was made available via Early Access.

With Early Access users can test new innovations and give their feedback in a relaxed and easy way. We invited the user to give a rating by using smiley faces and we received a lot of feedback surveys. For the financial dashboard we received for instance suggestions about the understanding of the result widget. After evaluating and processing the feedback, we see that our users appreciate the new dashboard more and more. Now we are almost ready to make it generally available.

What is the new financial dashboard?

The new financial dashboard will be a central starting point for accounting in Exact Online. From here you have direct insight in how much you have, how much you will receive and how much money you owe. But it will also serve as an entrance into the main accounting functions.

With this financial dashboard we want to give our new Exact Online users the best getting started experience with bookkeeping in Exact Online. And also introducing a more efficient, intuitive and modern way to start with Exact Online. After finishing the company setup wizard the user will automatically start in the new dashboard and can directly enter their invoices, import statements etc.
