Now available: Extension of Twitter integration

Twitter is becoming more popular every day. Some recent figures:

  • Today the total number of active registered Twitter users is 645.750.000
  • Every day 135.000 new Twitter users are signing up
  • The average number of tweets per day is 58 million.

For businesses it is important to know what people are saying on Twitter about your company, products or services. Negative remarks on Twitter can cause lots of damage. On the other hand positive remarks could be further exploited. In many cases a good follow up of a certain Tweet is required.

Tweets about your business

Tweets can be about nice opportunities, customers complaining, potential reference customers or some kind of service requests. On top of the current Twitter integration (showing tweets on account and contact cards) a new overview called ‘Business tweets’ will become available in Exact Online. Relevant tweets are shown in this overview based on your own keywords. Keywords can be your company name, brands, products, competitors, interesting areas or anything else.

It will be possible within the same overview to easily convert tweets into CRM activities like Tasks, Service Requests, Complaints, Events and Communication notes. In this way relevant traffic on Twitter becomes seamlessly integrated with your own business process. Sending e-mails about tweets back and forth will be history and effective follow up is guaranteed. Bringing your business to a higher level.

More focus with flexible customer segmentation

An important success factor for driving your business is to be able to divide your (potential) customers in relevant segments. Focus on those segments in which your business can and will be most successful! Every business is different so each business can have different segmentation (also named: classification) criteria  which are applicable to their accounts. One business often divides her target group in multiple ways because each segment requires a different sales and marketing approach.

Now general available: Extended account classification
Marketing fields that already existed in Exact Online on the account card are for example Sector, Subsector, Company size, Business type, Source and there was one so-called Classification field which could freely be used for any other classification purposes. To provide you much more flexibility to classify your accounts this old classification field has now been replaced by 8 new classification fields.  Each classification field can have its own label (description) so users will easily understand the meaning of the field. Targeted marketing and better reporting
As the new classification fields can be used for filtering in the account search, contact search, account overview, contact overview and marketing lists this enables you to execute your marketing activities like e-mailings to a more targeted audience. The new classification fields can also be used in lots of overviews which results in more accurate insights. Supported overviews are:

Word merge on quotation and E-mail merge now available!

The CRM team is happy to inform you about the following innovations for CRM in Exact Online which are now general available:

Word-merge for quotation

When creating a quotation it is often required to add more text to the final document. This can be product information, a project description or terms & conditions for example. Besides the default additional text, users may want to adjust the text in the final quotation document.

With the current quotation layout functionality a quotation could only be generated as a PDF-document, but now it is also possible to generate quotations into MS Word documents. The quotation is then also based on a MS Word document template. After generating a quotation the document can then still be adjusted.

E-mail merge

Businesses prefer uniform communication to their accounts and it saves time when users don’t have to type similar email messages every time they need to send one. That is why we made it possible in Exact Online to send a standard e-mail directly from the account or contact card based on templates.

Creating or editing templates

Users can define their own templates for the above-mentioned quotations and e-mails. These templates can be created from scratch or by editing an existing template. Menu: <Company name – Masterdata – Layouts – Maintenance >. Within this menu an instruction video explains more in detail how it works.

Exact Online Accounting

Support of latest SEPA version

As of 1st February 2014 Exact Online supports SEPA (Single Euro Payments Area), the new European standard for the payments market. Every year adjustments are made to the schemes (rulebooks), so our development team will make sure that your software always supports the latest version.

Batch payments

We are also adding the capability to work with batch payments. Allowing your bank to deliver bank statements with a single line consisting of several payments. Exact Online will now recognise and match the payments that belong to that line, reducing transaction costs and saving time (this applies to The Netherlands, Belgium, France, Germany and Luxembourg.)

Send and track sales invoices

The single most frequent reason for not paying an invoice on time? “Oh sorry, I don’t think I actually received your invoice.” So another new feature lets you add a direct link to a sales invoice within customer emails. You’ll even be able to see whether or not the customer has viewed it. No more mix-ups. No more excuses. No more delays!

US localization

Latest updates address U.S. specific requirements for sales tax, 1099 reporting for suppliers, and single and batch printing of checks. This means Exact Online accounting software, combined with our industry solutions in Manufacturing, Wholesale Distribution and Professional Services, will provide a seamless “all-in-one” solution for the U.S. market.

Project & Contract Management

We’ve been working hard on a new edition that meets the specific needs of providers who sell services via subscriptions. It will offer a wide range of reports and dashboards, including the ability to project monthly recurring revenue growth and to track lost revenue due to cancellations.

Recurring planning (Exact Online Project Management)

This innovation will help you to quickly and easily (re)-schedule recurring activities (for example, an 4-hour activity that is planned for every Monday for next 8 weeks).

New dashboard

A new interactive dashboard will be the starting point for key actions like creating new projects, approving time and leave entries, and generating invoices. It will also display key indicators such as billability, schedule accountability, budget progress, active projects and available capacity – all at a glance.

 

Exact Online Wholesale Distribution

Material planning

Do you deal with long delivery lead times, high value products or fluctuating demand? So you understand the need to accurately determine what is required, in what quantity and by when. A new innovation for the latest Exact Online Wholesale Distribution Premium edition (now in Controlled release and planned for General Availability in March) lists forecasts next to actual demand, allowing you to calculate requirements more precisely and optimize stock levels accordingly.

Project integration

A new innovation will help those of you operating in MTO environments to bring together multiple Shop Orders or Sales Orders under a single project, making cost and progress reporting more efficient.

By-products

Manufacturers can now produce multiple outputs on a single shop order, especially those of you in sectors where by-products are produced. You will have a section in your Bill of Materials to state your byproducts. The cost of by-products will be retrieved as a (positive) result and adhusted for in costing reports.

 

Exact Online Accountancy

New dashboard

A new dashboard will facilitate accountants and bookkeepers to better manage their practice in the cloud. It will give insight in both the internal companies as well as linked clients. Next to that it provides information on the quality and notifications. It will allow our users to effortlessly get started on day-to-day tasks and be on top of clients’ questions and advice opportunities.

Enhancing Scan & Recognize

By adding a traffic light system to the booking proposal, a new-look Scan & Recognize boosts efficiency by making it easier to identify repeating invoices (green), more complex invoices incorporating different VAT-codes (orange), and invoices of new creditors (red). It’s even possible to book the identified invoices directly.

Scanmail

These days most scanners come with the option to email documents too. The new Scanmail feature will let you email scanned invoices, receipts and other documents directly into Exact Online, so busy accountants can get on with higher value tasks.

New email storage

A 360 degree overview of your customers means 360 degree insight into your correspondence with them – including emails. This new solution allows you to automatically save all your sent emails into Exact Online just by bcc’ing a dedicated email address. And you can save emails from your customers into Exact Online as well: simply forward them on to the same dedicated storage address.

We are adding legal compliance and localization features ready for the launch of Exact Online Accounting in the United States.

Time entry on Android Smartwatch

This smart new feature means you’ll always stay up to date with tracking your time, anytime, anywhere, via your Android Smartwatch. Just think….you’ll never have to pester people to enter their hours again (please note, the initial launch will take place in the Netherlands only.)

Mobile invoicing

We’re also working on making it more straightforward than ever to create and send invoices – straight from your iPhone or iPad. So you’ll be able to bill for work as soon as the job is done, and check or view invoices whenever and wherever you want.

 

Exact Online App Centre

We’re currently busy setting up a new App Centre for Exact Online in France. It’s all set to launch later this year, together with improvements to developer documentation.

And finally… we are redesigning and optimising the company setup wizard in Exact Online Wholesale Distribution, Manufacturing, Professional Services and Accountancy. Among other things, the enhancement will include industry-specific templates complete with example data for all countries.

CRM on the go! Create your CRM data anytime anywhere

Improve information insight, shorten sales cycles and win more deals with the mobile apps of Exact Online. Sales people are often on the road and want to have their CRM right at hand all the time. Not only to view relevant account data but also to quickly update the system. Whether it’s about quickly creating an opportunity, submitting a task for a collegue or adding a new contact they’ve just met.

Now general available

On all Exact Online mobile apps (iPhone, iPad and Android phone) it is now possible to not only view accounts, contacts, opportunities and activities (e.g. tasks, communication notes) but also to create and edit them. (Please make sure you have updated your app from the App store or Google Play!)

CRM always up-to-date

Nothing more convenient for a sales rep if he or she can directly register an opportunity when he is visiting a new customer and send out a task to a collegue to start working something out for example. No precious time is lost and the CRM system will always contain the latest information.

Mailchimp & Exact Online integration: How to get started!

MailChimp and Exact Online: two state-of-the-art cloud solutions that help you grow your business. Separately, they’re highly effective and save you money. Together, they’re even more powerful.

Take advantage of the fact that they’re designed to work with one another. Use them together to gain highly effective control over communication with the people who matter – your customers.

Here’s how to get started.

First things first You’ll need a subscription to both packages of course. If you’re not already enjoying the benefits, subscribe to Exact Online here and to MailChimp here.

Next, connect MailChimp and Exact Online

To connect MailChimp to Exact Online for the first time:

  • login to My Exact Online
  • click on the privacy control tab
  • enable MailChimp by completing your MailChimp credentials.

Next, create a MailChimp list from your existing Exact Online contacts

  • create an empty list in MailChimp
  • go to your Exact Online marketing list
  • select the empty MailChimp list (use the magnifier, and click ‘Update’)
  • that’s it!

Customers opting out of receiving marketing emails

If one of your contacts unsubscribes from a MailChimp list (using the link in the email) Exact Online automatically updates the subscription status in the linked Exact Online marketing list. You can also update the list manually by finding the marketing list entry in Exact Online and clicking the ‘Update list’ link.

Help with running your campaigns

Both MailChimp and Exact Online give you practical help to run your campaigns.

In MailChimp the ‘campaign’ function is focused on email marketing. In Exact Online the ‘campaign’ function allows you to manage campaign content and handle follow-up (as a campaign can be much more than just sending emails). For example, it’s possible to create multiple tasks – such as follow-up calls – with just a few clicks.

Linking your Exact Online campaign to a campaign in MailChimp is possible via the create campaign link on the campaign card in Exact Online.

Win-loss analysis: Ready to beat the competition!

Did you know that CRM in Exact Online provides an integrated win/loss analysis? This can be easily set up and helps you to improve the strategy for your business. It can contribute in bringing requirements to product or service development and feedback about messaging to marketing; it may also help uncover new sales strategies and initiatives. This all will result in more sales deals and higher revenue.

Competitor insight

Why do customers select your products or services? Why did your prospects select your competitor’s products or services and not yours? Which competitors are you facing in certain categories? Have these questions answered by CRM in Exact Online and you are ready to beat your competitors!

How it works?

To have a proper win/loss analysis it is important that all your sales reps have the discipline to fill in two important fields every time they set an opportunity in Exact Online on Won or Lost. These fields are Reason and Competitor (if needed, click Customize via the toolset button to let these fields appear in the Opportunity screen). Values for the underlying tables can be defined by yourself.

Opportunity overview

Within the Opportunity overview you can create all kinds of overviews (using again the Customize option to sort, filter or add columns) based on Involved accounts (competitors) and Reasons. This will give you the insight you require. For example: Create a list of all lost opportunities in a certain category and discover for which reasons they were lost to which competitors.

Preconditions

Please make sure that all accounts that are competitors are marked as competitor on their account cards. Preferably, when known: link the right competitors in the Involved account section on the Opportunity card.

Conclusion

Win/loss analysis is something any business can do. It does take some effort, but when done properly it provides lots of clarity and insights into customers’ perceptions of your product or service which will bring your business to a higher level.

CRM in Exact Online: What’s coming up

With CRM in Exact Online we offer our customers an easy-to-use, innovative online CRM solution. Important themes within this solution are Contact management, Sales and Marketing. Regarding the Marketing theme the recent launch of Marketing Campaigns, contact lists and the Mailchimp integration (e-mail marketing) was an important milestone. In the coming months the CRM team will be working very hard on various innovations regarding Contact Management, Sales and Marketing as well.

A short overview about what’s coming up:

(Contact Management)

E-mail merge
Businesses prefer uniform communication and it saves time when you don’t have to type similar email messages each time all over again.  It will be possible in Exact Online to send an e-mail directly to an individual account or contact based on e-mail templates (to be defined by the user in MS Word).

E-mail saving
A new e-mail saving solution will be introduced. An e-mail you want to have stored in Exact Online can automatically be saved just by simply filling in a special e-mail address in the bcc-field of the e-mail. As simple as that!

Save emails in Exact Online

Parent-child relations (just released) 
For sales activities it helps to know if a certain account has got subsidiaries or the account is a subsidiary itself. In Exact Online a so-called ‘parent account field’ and an overview of so-called ‘child accounts’ has now been added to the account card.

Word-merge on quotation
A quotation can now only be generated as a PDF.  This PDF cannot be adjusted, so adding specific text (e.g. product info, project approach, terms & conditions) in the quotation is not possible. With the new solution it will be possible to generate a quotation from Exact Online into a MS Word document based on your own template. You then have the option to adjust the generated document.

Extra classification fields
To provide Exact Online users more flexibility to classify their accounts seven additional classification fields be added to the account card. These classifications can be used in the account search, account overview, marketing lists and in various financial overviews as well. Read more

A detailed planning is hard to give but most of these innovations are expected to become general available within the next couple of months.
