Exact for Wholesale Distribution and Manufacturing Premium to Advanced downgrade

When you want to make a downgrade from Exact for Manufacturing Premium (or Exact for Wholesale Distribution Premium) to Exact for Manufacturing Advanced (or Wholesale Distribution Advanced) you need to take some actions PRIOR to downgrading, and you need to understand what is actually changing, otherwise you may get the impression that something went wrong with your inventory.

Storage locations in Exact Online

In the Advanced editions of Wholesale Distribution and Manufacturing we introduced the concept of storage locations. They have been implemented as labels on the item master. The locations are maintained on the warehouse master. One of the locations on the warehouse master is the “(Warehouse) Default location”. When we view inventory reports or print layouts we show as storage location the “(Item) Location” (of which we have only ONE per item/warehouse), and in absence of a location assignment the “(Warehouse) Default location”. There is no actual record in the Advanced editions of inventory residing on a storage location!

 

In the Premium editions of Wholesale Distribution and Manufacturing we do keep record of inventory on storage locations (provided that you set your warehouse(s) to “Use storage locations”.

 

If we make a downgrade from Exact for Manufacturing Premium (or Exact for Wholesale Distribution) to Exact for Manufacturing Advanced (or Wholesale Distribution Advanced), our inventory will be automatically assigned back to the “(Item) Location”, and in absence of a location assignment on the item master to the “(Warehouse) Default location”. This may come to some as a misplacement though no inventory has actually moved: we only lost the ability to truly manage storage locations.

 

Picking lists updates

We have four picking list layout types in Exact for Manufacturing, and two in Wholesale Distribution: The Manufacturing picking list, the Manufacturing cluster picking list (both manufacturing only), the Picking list and the Cluster picking list. The fields Location, Location (Description) and Location (Stock) are no longer supported and should be removed. Only Item default location, Item default location: Description and In stock are supported (and may be inserted instead!).

Approving quotations and sales orders

Since Exact for Manufacturing Advanced and Exact for Wholesale Distribution Advanced do not offer functionality to approve quotations and sales orders, ALL quotations and sales orders that have not yet been approved need to be approved prior to downgrading. Use the path [Sales] Orders, Approve and [Sales] Quotations, Approve to check for unapproved sales orders and quotations:

Notes on downgrading to Standard editions

If we downgrade to Standard editions we have only ONE warehouse. You should link all items to the Main warehouse prior to downgrading. Next, you will have to complete all orders (sales, purchase, shop orders, assembly orders) that are not on the main warehouse. Lastly: transfer all inventory to the main warehouse.
