How do I make a document type inactive?

Within Exact Synergy Enterprise, you use document types. With a document type, you can define specific properties for documents that are created within this type.

However, you may want to prevent users from creating documents of a specific type. In that case, you can make this document type inactive. This does however not apply to document types that are available by default in a new company. You cannot make these inactive, but it is possible to block such a document type for manual entry. This way, you cannot use the relevant document type while creating new documents.

Blocking a document type

To block a document type, you can follow the steps below:

  • Open the document type via [Documents, Setup, Maintenance, Document: Types]
  • Select the tab ‘General’
  • Then choose ‘Blocked’ or ‘Hidden’ under ‘Manual entry’.

The options come down to the following:

  • Allowed – Select this option to allow manual creation and automatic generation of documents via the background job of documents with this document type.
  • Blocked – Select this option if you want to block manual creation of documents of this type, but do want to allow that documents can be generated automatically via the background job. Documents that are blocked cannot be found via a quick or advanced search.
  • Hidden – Select this option if you want to block manual creation of documents of this type, but do want to allow that documents can be generated automatically via the background job. Documents that are blocked can be found via a quick or advanced search.

After you have selected ‘Blocked’ or ‘Hidden’, it is no longer possible for a user to manually create a document of this type.
