When you are using the Exact Integration solution you sometimes want to to re-send your data from Exact Synergy Enterprise to Exact Globe vice versa. As previously stated you can do this in the background monitor by hitting the re-send button for selected messages.

We also supply you with a tool that can re-send your data based on the entities and the ‘date last modified’.

In your installation folder of Exact Integration (p.e. c:\program files\exact software\exact integration\synchronization framework\bin) you can start up an executable called SendToQueue.exe. This tool allows you to select the entity that you want to re-send and from which date.

This tool makes use of the Integration solution that uses the Web Services on Exact Synergy Enterprise and Entity Windows Services on Exact Globe to exchange data between the two products.

In the upper part of the screen you enter your connection settings, after pressing the button connect, it will fill your list with entities that are currently supported. These settings will be automatically pre-filled based upon your installation of Exact Integration. Please note that you have to point to the services directory when you use the web address.

In the options section you can either select synchronize from ESE (Exact Synergy Enterprise) to Exact Globe or from EG (Exact Globe) to Exact Synergy Enterprise.

With the date filters you can select your range based on the modified data.

In the entities section you can select the entities you want to re-synchronize. You can set the priority with the buttons on the right side of the selected entitiy. When you press the button ‘Retrieve to queue’ the synchronization will be started. Ultimately on the right you can see the progress of your entities selected.

When you decide to use this tool please bare in mind that it’s best to synchronize entities on an individual basis and that you schedule this outside of business hours so that there is no interference with your normal daily activities. And of course we recommend that you make a backup of your database before you start this process so that you can always go back to the situation you had and you don’t loose any valuable information.

When the process in completed you can view the results in your background monitor.

And for the technical people amongst us, you can also view this on a database level in SQL via the following query.

Environments are getting more and more complex these days. As a system administrator you see yourself faced with many challenges of keeping important data up to date in all enviroments.

As Exact we have two main products which are many times seen in one enviroment. Exact Synergy Enterprise for your front office, web browser application and Exact Globe as your back office system.

Of course you want to keep your data in line between Exact Globe and Exact Synergy Enterprise and you don’t want to run extensive scripts to keep your data synchronized.

We anticipated this situation and released the product of Exact Integration. This product basically communicates between Exact Synergy Enterprise and Exact Globe, keeping the data aligned.

However, since these are two different products with their own history, often they have their own validation to make sure the individual product data is guaranteed.

As Exact Integration communicates between the two main products the data entered in each system will be validated by both products. And sometimes, data entered into one product does not meet the requirements for the other product.

In order to facilitate in keeping your data entry correct, we have created a background monitor which allows you to see the results of the validation, enabling you to correct this data and keep the data between the products synchronized.

In the System-Report-Background Monitor menu in Exact Synergy Enterprise the administrator can see the results and take action if necessary.

In this monitor you see, besides the failed synchronization, also when your synchronization went well. The results are consolidated from your middleware database that you have created upon installation of Exact Integration.

Over last year we’ve been busy developing Central Master Data Management solution (CMDM) that allows you to create a structured process for entering and maintaining information at a central location. As a result, you have a clear overview of your entire organization’s information that can be used for company-wide decision making. With each product update we enabled CMDM for additional entities within the software. CMDM already supports accounts, items and general ledger accounts, and as of Exact Globe product update 403 and Exact Synergy Enterprise product update 248 you can also centrally manage people.

On behalf of product management I’m happy to announce that as of today Exact Globe product update 403 is in controlled release. The release is now available for resellers and all controlled release customers that participate in the controlled release. This new product update is planned to be generally available in the beginning of January 2012.

In Exact Globe product update 403 we have extended functionalities that support your legal requirements and business standards with a number of new features. Among others:

• Electronic submission of VAT return, EU sales list (VIES) as well as INTRASTAT return for Irish legislation
• Support of audit file, version 3.1 for Dutch legislation
• Postal codes for United States and Canada supported

Besides, there is a number of localization improvements built for a vast variety of legislations including: Germany, Belgium, Italy, Portugal, Slovak Republic, Russian Federation and Thailand.

We have also enhanced the Exact Warehouse Management Solution with a re-count functionality that comes in handy when stock differences are too big, and auto fill picking queue and fulfillment that enable companies to pick sales orders without having to use the control center for it.

Moreover, to follow earlier introduction of supporting accounts, items and general ledger accounts by Central Master Data Management, you can now easily centrally manage people. Please watch the video to find out more.

As in each of the product updates we have also taken into consideration direct customer feedback and have developed numerous small enhancements, such as:

• Enhancements for the (Interactive) Balance Sheet
• Matching outstanding items in bank or cash journals using accurate offset general ledger accounts 
• Matching of receipts and payments enhanced 
• Process sales journal entries automatically upon printing the final invoices 
• Copy item functionality includes all suppliers and warehouse details 

Finally, to meet our customers’ needs we have addressed a number of enhancements related to consistency and completeness of Roles and Rights functionality in Exact Globe. Please read more in this document under tab Roles & Rights.

In terms of delivering business objectives Exact is focused on the preparation of necessary infrastructure for SEPA migration of its customers around Europe. As this has already been communicated in product update news, release notes and product blog posts during 2010 and 2011, Exact Globe has built a good and firm foundation for SEPA proof ERP solution, including support for IBAN and BIC, SCT and SDD.

Exact now actively participates in the Dutch SEPA Migration Plan. All existing SEPA solutions of Exact Globe are the results of close cooperation of Exact product management and banks.

Rabobank has included Exact in the list of key-stakeholders for realization of business objectives of SEPA migration project for their customers. One of the results of this project for Exact customers will be SEPA proof certification of Exact’s ERP solutions for Rabobank customers.

In order to build and maintain an external network, necessary for obtaining the functional objectives, the regional and corporate product management of Exact participated in communication sessions and in round tables, which were organized by Netherlands Bankers’ Association (NVB) and ICT-office. Many aspects and challenges relative to the realization plan have been discussed between major Dutch banks and different software vendors. 

The SEPA European legal framework requires banks as well as bank clients to use European standards for payments in euro. All companies within the EU are receiving the same requirements:

• The mandatory use of IBAN, so no longer bank account numbers
• A new technical standard for payment orders is XML
• Changed product specifications for bank transfer (national and international payments) and direct debit (collections)

The impact of such changes for all business sectors should not be underestimated. Therefore prompt and due communication and collaboration between various stakeholders like suppliers of payment services (banks), corporate and private users, software suppliers and other supporting parties are required. It all drives parties to make certain agreements about relative issues, such as:

• Communication on SEPA
• Planning of the migration
• Test activities
• Monitoring migration progress and communication
• Identifying and contributing to the solution of substantial societal migration issues.

The Dutch banking industry, represented by NVB, together with de Nederlandsche Bank (DNB) have delivered the Dutch SEPA Migration plan  which describes goals and objectives as well as major milestones, how the Netherlands will migrate from national to European payment instruments. Stakeholders of this plan are required to align their plans and activities upon the following milestones:

When you receive a file with the new item codes from your supplier, you can update your items in one go. The batch update functionality is best used for this purpose.
In product update 401, the batch update functionality has been enhanced. You can maintain your ‘supplier’s item code’ and update the information automatically using batch updates.

Let’s take an example:

Supplier 60120 Roode Pelikaan send a list with new item codes. Via maintain items, you can use the batch update functionality. Select the supplier, mark the check box ‘Supplier’s item code’ and press ‘Show list’:

Adjust the column ‘New’ with the new item codes received from your supplier. After adjusting the item code(s) you can update by pressing the ‘Exact Globe: Update’ button.

All adjustment items are updated and ready to be used

Lately I have been receiving questions about the supported versions in combination with Exact Integration. From that perspective I thought it would be good to address that we have documentation on this available to all customers.

The support matrix of Exact Integration is available not only through searching the web, it is also added to your start menu when you install Exact Integration.

The Help link guides you to the support matrix so you can check the supported versions from your computer.

When you are configuring Exact Integration, there is also a link to the support matrix in the configuration screen. In the Help, About Exact Integration menu, you will also be guided to the support matrix.

So, how to continue when you perform an update?

As of release 247 the services are no longer installed through Exact Integration. This means that when you update from 246 to 247 you will need to uninstall Exact Integration first, then perform update of your Exact Synergy Enterprise environment and re-install Exact Integration.

The reason for this is that the msi of Exact Integration for versions lower than 247 will uninstall your services. If you have updated your Exact Synergy Enterprise before uninstalling your Exact Integration, those services will be uninstalled from your environment and the msi for Exact Integration compatible with release 247 will NOT re-install those services.

Therefore the correct order of updating is:
1. Un-install Exact Integration. (This will un-install your services)
2. Update Exact Synergy Enterprise. (This will install those services)
3. Install the 247 version of Exact Integration. (It assumes that the services are already installed through Exact Synergy Enterprise)

I have already mentioned about our awareness of the growing demand of Exact Globe customers to have the ability to start sending payment and collection orders to banks online and receiving bank statements online and thus having banking information real-time available. Like I have announced earlier, as of the Exact Globe product update 402 Belgian Exact Globe customers can fully enjoy this automatic integration with the Isabel Go .

Isabel Go is a banking service provider, which facilitates banks and companies in Belgium in the exchange of bank statements and bank files. Its service enables companies to do all their banking transactions via one interface, such as sending all types of payment and collection files and retrieving bank statements from vast variety of banks in Belgium. By using the Isabel Go feature in Exact Globe, you can send and receive payments and account information directly to and from your banks. The Belgian bank formats, such as foreign and domestic payments/collections, SEPA direct credit transfers, SEPA direct debits as well as CODA bank statements are supported in this solution.

The functionality is presented in Exact Globe as an integrated part of its banking solution, for which Exact customers do not need to pay extra.

The solution is highly demanded in Belgium. Over 980 Belgian customers of Exact Globe, which licenses include electronic banking solution of Exact Globe, are able to start using the integrated Isabel Go feature right now.

Exact is now mentioned in the official website of Isabel as a business partner. This ensures further cooperation between two software vendors, which is beneficial for customers, who should not have any doubts that their demands on banking solutions will be satisfied.

It has been around 2 months now that Exact Integration has been released. I am sure you are curious to know what we have been doing in the past 2 months and what our plans are for the near future.

In the recently released Exact Synergy Enterprise 247 we have focused on our customer feedback, but we also implemented some new features.

We have created a monitor that watches your services on your server. So that you don’t get surprises that data is not synchronized because one of your services isn’t running.

As of release 247 it is now possible to restore your database and the databases will be synchronized. In order to realize this, a new service will be installed on your server, the Exact Service Monitor. This service will check your Exact Globe and Exact Synergy Enterprise database as you have defined in your configuration screen.
In your configuration screen you can set the interval (in minutes) on which this service checks for a restore.
This service requires the user credentials given in the configuration since it needs access to your server and database.
However, we were not able to apply restoring of database over a batch update, so it’s very important that you always have a recent back-up of your database.

Furthermore we have provided a small matrix that shows you on what release of Exact Synergy Enterprise and Exact Globe, Exact Integration is supported and what version of Exact Integration you are currently using. This link is available in your startup menu in Windows, as well as in your configuration screen.

On a technical level, all services needed for Exact Integration are now deployed through Exact Synergy Enterprise and Exact Globe installation.

For the coming releases we have plans to merge Central Master Data Management and Exact Integration into one solution, this will enable you to have the extra functionality of Central Master Data Management as well as all the benefits of Exact Integration.

As result, we will be releasing more and more entities on a scenario of multiple databases in the coming year.
