Exact Synergy mobile apps: What do you like to see in our new App?

The Exact Synergy apps are available since 2011. There is an App for iOS (iPhone, iPad), Android and Windows Phone. Since the introduction a lot of improvements are made to the apps; some visible, a lot not visible.

This year we will continue to improve our Mobile App offering to better serve the persons using the Apps.

So, if you are one of the thousands of user of our Apps, let us know what improvements you would like to see. What do you like to see in our new Apps?

    For me the most urgent improvement would be the ability to upload/attach email to a customer record on the iPad and the ubiquitous iPhone.

    This function is available on the PC via Synergy Office Integration and Outlook – which is great for office based workers but not for our mobile sales team.

    I do hope this one is high on the list.

      Hi Darren, I agree with you that this is something we need to look into. It’s not on our shortlist, but I promise you we’ll take a look at it. Since email is an important part of our daily work, i see the need for this integration as well. Do you have something in mind about how you think it should work?

    For us, a projectmanagement company, we would like to see the possibility to view projects, child projects and to view and manage the documents and workflows on those projects.

    This function would be great for our projectmanagers when the are on-site

        Hi Martin, this information would be most relevant to our projectmanagers. Access to outstanding workflows and documents on projects gives them full insight when they are on/site.

        Additionally, access to projects on the Account Menu Screen, as Dave Kloepfer suggests, would be nice for our salesforce.

    For us:
    – batch workflow processing, so select multiple workflow requests
    – better support for reading documents and especially their attachments.
    – hour entry. Try to prefill as much details as possible, based on a person’s planned activities or his location
    – add Favorites to the menu, showing the favorite Synergy shortcuts the user defined, so he can open those URl’s in an easy way.

      Hi Ronald, how are you? Better support of documents is on our shortlist. in fact we are implementing it as we speak. the idea is that you can view document from yourself or a colleague, but also documents linked to an account. In the document list you can directly see the number of attachments. clicking on this number will show that attachments linked to the document. If you want, you can directly open the attachment from the list.

      the document itself will be much more cleaner as well.

      As for batch workflow processing, can you share with us how this is used within your company?

    I would like the ability to select specific workflow requests on the Menu page. Not having to live with the standard “Expense Claim” & “Time Off” Make it so each user can select a few Request types for their iPhone.

    Project Management is also becoming even more important for data for our clients to see. It should be available from the Menu and also linked on the Account Menu screen, just like Workflow, Opportunities & Documents are displayed.

      Hi Dave, Nice feedback and I understand where you are coming from. We are looking into making the menu a bit more flexible, but we don’t know exactly yet how to offer this. What would be your idea on that?

      as for projects, for which persons within your company is this most important? Is it for account manager, consultant, project manager or….?

    A possibility to sort the workflow on startdate or enddate.
    When you open your workflow you can’t see wich task you have to take action on first!

    We would like to edit relations and add contacts! We can’t do that now. Only edit contacts and add a new relation.

      Hi Arno,

      Adding and editing contactpersons is on our shortlist. We see the need for creating and editing account less important. Based on the feedback I get is that user will not often do this on his mobile, but would use the web App instead. How is this feature important to you? in what situation would you create or edit an account in the App?

        Hi Martin,

        Sorry for the late reply, missed it…

        Our account management team is only using iPads and when they talk to customers they can’t edit the address or so. They fill out a request, so Account Support will edit the customer card.

        The web app doesn’t work that well on an iPad..

        Another tip or itch at the moment, start a request right from the customercard! It will be much faster!

    Functionaltiy of entity “Natural Persons” is available within the standard functionality of the 250 release.

    My customer wants to see/lookup these data, within the App.
    Is that already possible, or otherwise available on the short term?

      Hi Hans, we are working on this feature as we speak. We want to make it possible to see to which accounts a contact is linked. On the other site do we want to show in the account list when the account is a person (natural person).
      This will not become available on very short term, but know that it’s coming!

    For me it would be the possibility to acces projects. It’s important for our projectmanagers and consultants.

    And i would like a filter in the workflow’s on end date. Most of the time i want to see the workflow’s for the next 7 day. Not the complete list.

    Thanks for your invitation to give feedback.

    I would like to see less clicks to get through to details in workflow pages from an accounts page. When you do get there I do not think the layout of the screen is very good on the iPad version. It can be hard to see what you want. It looks better on the iphone. You also have to click again to see the notes of the request – it’s far too many clicks. Being able to view requests by date would be good.

    I would like the ability to customise the order of sections in a workflow screen at the iPhone level. Having the ability collapse or hide sections would be good for the user that meets their indidual needs

    It would be good if the calendar didn’t have to download every time you open an appointment. The iphone calendar is far quicker than the Synergy app calendar. Can you sync it to the phone.

    I would like to see projects on the mobile version. Seeing the workflow from the projects card would be useful. However you should have the option of viewing ALL requests by date, not just separate request types.

    I am aware of the ability to use approvals for appointments. As we have an internal team booking appointments and an external team attending them, it would be good if unread appointments were highlighted say in bold or other means as with MS Outlook emails.

    It would be good to have the choice of viewing calendar by list day or month.

      Hi Andrew, How are you doing? lets see if I can fully answer your questions/feedback.

      We are currently working on a new App, which will get an own design for iPhone and iPad. We will touch a lot of small features developing the new apps, of which workflow is an important one.

      I have done some research lately and that shows that most people are interested in information (mostly requests, but also documents) that happened in the last couple of weeks. They don’t want to see all information, but a subset of information. This information should be easy to gather.

      Next to Workflow, the agenda is the most used feature. we are looking into getting week, month and list views there. day view seems to be less important. For sure we will look into performance here!

      The need for projects is also clear. Mostly it is not the account manager who needs that, but the project manager. Is it the same in your case?

      Can you give some more clarification about highlighting appointments? unread requests in your workflow are already visible, so I guess you mean something else.

    Hi Martin,

    I am good thanks. i hope you are well too. Regarding projects. We use the projects module for tracking our opportunities. The reason we don’t use the opportunities module for opportunities is that the opportunities module doesn’t have XML. We are unable to batch upload opportunities from a data feed into the opportunity module. Therefore we use projects module for this. When do you think you could add XML to opportunities?

    Also our opportunities have multiple accounts because we are in the construction and specification industry eg the facility, architect, hydraulic consultant, builder, plumber and merchant.

    In our business each field based sales person works with an office based sales coordinator. The sales coordinator is the project manager who tracks and manages the opportunities (in the projects module). They also book appointments for the sales person. The sales person is the account manage for the accounts. They attend the appointments.

    For us, the reason why the account manager needs to have access to projects in the mobile apps version is that they are field based and they need to see what is happening in the project. Does this make sense? If not I am happy to have a teleconference with you. I could get Ajitha to organise it.

      Martin,

      Following on from the above and opportunities, do you know when there will be an update to the opportunities module. I put a request in for improvements to opportunities some time ago. In additional to those requested and XML, are you able to add more free fields to the opportunities module including extra free dates. Also having flexibility in the stages in the opportunities module would be good.

    Hey Martin, I have had this discussion with Ronald back in 07 but I feel the need to bring it up again, With hopes that it might get some attention. Currently there is no way to associate a contact with a Project. This really Cripples the functionality of synergy and therefore mobile as well with giving the possibility to add contacts from a mobile device.
    I originally brought the issue up with exact because we go to tradeshows and upload contacts into synergy, but with out being able to associate the contacts with the show (a project) then there is no way to provide matrix on who is going to what shows and what the real source for a given contact is and so on and so forth. Please contact me for more info, I have full and great details on how it would be beneficial nearly Every Synergy Company Globally.

      Hi Shawn, I get your feedback, but indeed this behavior is currently not availalbe in Synegy, which also doesn’t make it possible to have it on mobile.

      Have you thought about useing a dedicated request type for this: tradeshow registration? If implementing it correctly, registring a person to a tradeshow should be quite easy and it should give you all insight you need as well.

    This would require Thousands of clicks and interactions to do. Tradeshows are a many to one relationship which can only be done via Projects, until you decide to make this possible Marketing using Synergy will not be possible. Fix this and you will have made it possible for people to use Synergy as a marketing tool. I have been focused on getting Development to do this for 6 years. For the life of me I can’t comprehend why you don’t have an interest. my only thought is that you can’t clearly understand the impact doing this would have. There is no other alternative. Once again if you would like to clearly understand this idea i am willing to spend time with you. This would be possibly the best functional request ever done for ESE if you did it.

    Hi Martin,

    I would like to see the function:

    Workflow: Search – Requests.
    For example I am using: Search via operators requesttype = 5117 OR requesttype = 5106. This search option gives me the possibility to look at request made by multiple colleagues.

      Hi Tom, interesting case. We are researching some possibilities that might support your case. It’s really fresh, so you’re the first one to know and and… no promisses yet.

      In our new app we want to give organizations the options to add their own menu entries. In your case you could create menu entry ‘ABC’ and have it only show request types 5106 and 5117. Would this work for you?

      Can you share a bit more about your case? why do you want to filter on these 2 request types? what kind of information is in it? and do you have any additional filters?

    Hi Martin,

    Following on from Shawn Gamble’s comments, this would also be a huge improvement to us, if you could have the ability to add contacts to a project and having this on the mobile version as well. We do use a request within the project to add contacts, however, we are limited by the number of contacts that we can add, as we have to use GUID.

    Creating a separate request or doing ‘multiple’ requests to add the contacts is not practical in our situation. It would be great if the contacts (and accounts) could be on the main page of the project card, as with the opportunity card.

    With regard to the mobile version, having the contacts in the project would make it so much quicker and easier for our sale people in the field to view all the contacts in a construction project. Could you please consider this.

    Above I read about enhancements to the Calender.
    Is showing more information at once (for example customer and contact) part of the improvements already? So when you click a date, you can see time/account/contact/description of the appointment?

      Hi Bert, we haven’t start with diving into details for agenda yet, but we will give this point attention. We see that agenda is used a lot and indeed the examples that you mention are those that you quickly want to access from your agenda. Keep you posted!

    Missing functions:
    a. adding contacts @ relations
    b. reporting button that gives information (now it gives an error) for example we like to see our SQL report about contracts
    c. search for contactpersons (I do not know every company name of a contactperson)

    It would be nice to create a Synergy document next to the attachment when you enter an expense claim via the app.

    And the possibility to create a document via the app (with your phone camera for example) that you can link in any requests.

      Hi Philip, I don’t expect creation of documents will be in the first version of the App. Research shows there are some users requesting this functionality, but for most users this is not needed. Note that we continue researching. I’ll be at your office tomorrow. See you there maybe.

    It would be nice see the product catalogue. Select the right pricelist. And create a quotation. Use the app als a Configure, Price, Quote tool. Including Variant rules.
    App should also work offline.

      I agree, with this it makes just makes since. think of it this way, from the Item perspective, we like to have images of parts in our synergy DB we have over 500,000 parts currently we have to take a camera shoot them all and then upload them individually, its a pain, would be nice scan the item barcode from the shelf, taking you to the item card. then click add picture, take picture. Done. Think Smarter not Harder.

    Helo Martin,

    hour entry from Iphone is different from the Windows Phone. Windows Phone show an extra screen with all planned request, so a consultant can choose wich one he wants to realise, while the Iphone doesn’t (the oldest planned request directly show) The extra screens is very preferable. Is this on the short list. I do not know the Andriod hour entry method, can you enlighten me/us?

      Hi Wouter, at this moment we are researching the exact needs of a consultant. Hour entry is a part of that. Since user research just started, no outcome is available yet. Based on feedback I get from our users, the way Windows Phone is setup is preferable above the one of the iPhone.

    Will the API for Synergy be released around november 2013 and will it be available for every one?

      Lennard, We indeed tend to have a first version of the API with PU252 which is now planned around november 2013. We have to investigate first whether we can open up the API for our partners and/or customers.

    I have a little comment from our salespeople. They can’t search for accountnumber in a request.

    So they open a request to fill out en they have to search by name. We have a lot of same names. It should be designed as the normal account search, with number and other info like city.

    That would be great.

      Arno, we are currently working on account search. It will be a big step forward and give you the opportunity to search in all/my accounts, showing suggestions of accounts when you type. Search is based on accountcode and accountname

    I would like to see a menu for documents which works like the menu for Workflows.
    I would like to see recent documents, my documents, all documents and search for it.
    Maybe you could implement a “Homepage” like in synergy enterprise where I could make links to my favorit documents

    Dear Martin, it would be very nice if you made it possible to use the same actions when working with request, as in the web version of Exact Synergy. With this I mean (f.i.): reject, remark, assign, etc.
    Besides that, using projects as a selection in the workflow overviews would be very good. It gives us the possibility to see everything in my workflow but only the request connected to the project that I am managing at that moment.

      Hi Peter, thanks for the nice compliments.

      The current Mobile Apps already provide some features mentioned by you. The reject, assume and ‘mark as unread’ in requests is already implemented. Touch the small arrow icon next to the big green button in a request. Assign and remark are not there yet. Hope we can add them in the new app.

      We are busy defining the filter set for the workflow list. I will take along your feedback about sorting on projects.

    I would like to the see ability to take a picture and upload into Synergy, or upload a picture from the camera roll.

    Purpose: 1) pictures as proof of damaged goods, pictures during the production process of errors, or proof of well packaged goods. 2) Service and sales staff in the field: pictures of successful installations, pictures of damage products, pictures of damaged packaging; when measuring in the field. 3) Quality control

    – We have one cororate database (Synery)
    – Apps are on mobile devices – anywhere
    – A picture is worth 1,000 words

    Yet, do I understand it correctly that it is not a priority to provide this functionality? I would like to make a point to make this a priority. Because people don’t ask for it, that does not mean that it would not enhance the business processes. Nobody said to Steve Jobs that hey needed an iPhone either… yet he made one.

      we are currently looking into uploading pictures. This would be a part of a request. In our prototype multiple attachments (take photo/ choose from camara roll) can be linked to a requests. Note that this is already availble in the current Apps as well.

        Hi Martin,

        I assume that there are technical reasons for not using a document for uploading pictures.
        Archiving pictures does not seem to be a business process, but more file storage.

        Documents would be the preferred location to find pictures and search. I know a number of customers that have build a knowledge base in Synergy documents for installer, sales people, engineers, etc. to find specific product applications, supported by pictures.

        If there is no other option than a request, then I would like to name/define my own request definition. I see the picture option in the expense claim, and hour entry. But creating these requests from the workflow does not give an option to add a picture.

        Maybe the option to add a picture to *any request type* that has the option to add attachments could be added to the menu? That would give a lot of flexibility…!

        One more thing:

        – Imagine you are visiting a customer and the customer shows your products that arrived damaged: you take a number of pictures with your iPhone. Now you want to upload them into Synergy so that your colleages in the office at home can see them. What is the easiest way to do that on the road?

        – Imagine your warehouse receiver receives goods from a supplier that are damaged. He takes pictures with his iPhone and wants to upload them into Synergy so that the purchaser can see them and discuss with the supplier. How to do that wireless quick and easy?

        I noticed that a request (expense/hour) accepts just one picture… 20 pictures means 20 requests… not desirable!

          Hi Frank, you are able to use any kind of request to link multiple pictures. This means you could decide to make your own request type for uploading pictures. This could be for example a request type only having description, account and attachment. depending on your business needs.

    Time tracking based on projects.

    With people in the field, most people have iPhones or iPads. It would be really, really beneficial if those people can easily enter their time.
    The app has an Expense Claim function, which is limiting as it is just one type of a request. Maybe developed for Exact’s internal organization.
    I would argue that the ability to track employees time real-time, has a greater impact on a company’s efficiency and provide better management control than the ability to submit expense claims.

      Hi Frank, Hour entry is a part of our current offering. To get this feature available in the phone, the user needs to have the Hour Entry role. In our future offering we will further extend this functionaly, which most likely will be offered in a dedicated App.

    I would like to see a way to display the calendar of colleagues. Right now you can only see your own calendar. Displaying customer information is also wanted on the calendar or display a calendar based on a customer or project.

    Hi Martin,

    I noticed the push notifications are already mentioned above. However, I think it’s a huge advantage having this feature! in my humble opinion a top priority! Knowing when a request ends up in your workflow is important for a lot of users on the road, as well as colleagues who are expecting replies or actions.

    Additionally, it would be very interesting for a user to be able to switch off push notifications per type of request so he/she can customize the notifications received. This selection (which requests can someone switch of to be notified about) can of course be limited to the requests said user can receive (based on roles and request configurations). The integrated sleep mode (on Androids or iPhones) should take care of muting the app in case of pushed notifications during the night (for example by colleagues in 24/7 environments).

      The new CRM App will have the option to automatically log-in OR to log-in everytime you use the App. So, everytime you use it, you can set your App in such a way that you need to key in your password again. There is no auto logout though

    Not sure if there is still time to provide feedback….

    I am just finishing an implementation. Feedback: ability to customize the menu. Currently some options link to a specific request.

    How about creating a library of options: e.g. ESE left menu options (my customers, my requests, workflow, calendar, planning, etc.), as well as links to create specific requests (don’t need the pre-programmed “expense claim”, but would like the customers “purchase requisition” request instead.

    People can change their menu options or make it standard for the whole company. Doesn’t matter too much.

    What about running custom SSRS reports in the app? That was another request. ESE provides the browser based reports and dashboards, but user needs a PC to view them… :-( The App would add much value if it can display SSRS reports…

      Hi Frank, it’s never too late to share your thoughts and needs. The App is currently in Controlled Release and you are welcome to join. SSRS reports and customization are not in current CRM App, though we have it on our radar for next year. Note that SSRS reports are already available on the Exact Synergy Apps for iOS!
      You are free to define which request should be used to handle the expense claim entry on the App. If you want to use a purchase requisition request for that, should be no problem at all

    When I originally left a comment I seem to have clicked the -Notify me when new comments are added- checkbox
    and now every time a comment is added I recieve four emails with the same comment.

    Is there an easy method you are able to remove me from that service?
