Central master data – First visuals

In a previous blog post ‘Central master data’ I promised to share the first visuals on the prototype! As it’s a prototype, the visuals can deviate from the future/final version.

As explained in the previous blog on this topic,  we decided to start with “accounts” . Exact Synergy Enterprise is facilitating  the central place to create and modify accounts. The master data is synchronized with all Exact Globe divisions that have a relationship with the account.

When you create a new customer, the account looks like this:Account card – Divisions section

The Divisions section is new. In this section you can immediately see which Divisions are linked to this account. Besides the division you can see the debtor code of the division. These debtor codes can differ per division. When selecting a Division the Division specific data for this specific account becomes visible and editable.

The division specific data card, previously only displayed information of a single division.  The first functionality we added is the possibility to maintain account data per division. We extended this screen with fields which normally could only be defined for all Divisions. So for example, the account manager of this specific account could be defined, but it was not possible to define  a different account manager per division.Central access to division specific data

Maintaining  Account master data for multiple divisions centrally means that all back office (Exact Globe) related data should be made available in Exact Synergy Enterprise. This means that the second step was to be able to maintain back office data per division. This will avoid that a user that creates or links an account to a division and then has to complete the data in the individual back office administration. Information like VAT codes, Payment conditions or  Price lists can well differ per division.

    Hi Richard, good functionality. Though I stil miss the possibility to have more accountmanagers for 1 account in a single division (business unit structure). Now you can only solve this by using free fields, but then the functionality ‘my account’ doesn’t work. Now you have to make your own ‘favourite’ in a startpage.

    Hello Richard, the first impression looks very good. A few questions/remarks from my side.

    – What is the idea about debtors with more branches in different countries? One account card or more account cards in Synergy?

    – What is the idea about managing extra fields in each division?

    – Is it possible to connect more debtors/creditors from one division to the account card in Synergy? For example if more branches (with different price lists etc) are needed in the same division.

    – Where to connect parent accounts?

    Hi Dave,

    1. We do not change the logic, meaning every legal entity is still a seperate account.
    2. Not sure what you mean with Extra fields. If you mean free fields, these are not synchrozied and need to be maintained in the back office at this moment. If you mean the fields we added to the division of the account: When you use accounts in multiple divisions, per division fields you can maintain different values. So for example if you use an account in your Dutch and German division, it maybe need to have different G/L’s in your back office.
    3. Not sure what you mean
    4. No changes, so you can define a parent account to an account.

    Hi Richard, the direction in which you are developing is good. Is there any information on when this will be available to the market? Which other entities do you plan to make available in this functionality?

    We aim on controlled release in January. This will be an extended controlled release, meaning we will roll-out gradually. So no date yet for general availability, we will start with a small group of customers.

    As explained in other blog posts, next to Accounts, Resources, Items and General ledgers will be in the scope.

    Hi Richard,
    Looks promising.
    Few questions:
    Will all these new features be developed in .net version of Synergy, or also in .asp ?
    Fact to have division-wise data in read only in Globe (because maintained in Synergy) is set via a parameter or choiceless ? I mean is it still possible to make them editable even if maintained centrally ?
    Are we going to find ALL Globe fields for accounts in Synergy or only a part ?

    Hi Thomas,

    It will be in the .net version only.
    It will depend on a setting, but synchrozization is one way, so if you would change things in Exact Globe, it can be overwritten again when the account is saved centrally.
    We aim for all Exact Globe fields to be available, but at this moment we don’t support free fields yet (so they are editable in Exact Globe), as we are not clear yet on the functional requirements from our customers.
